Permissions: Owners and Coordinators

Product tier: Available for Greenhouse Onboarding and Greenhouse Welcome subscription tiers

As Admins, Owners and Coordinators can view and manage employee profiles in Greenhouse Onboarding.

Access employee profiles

To access an employee's profile, click on their name under My New Hires (if they directly report to you) or enter their name in the Search bar at the top of your home page.


Note: Employee profiles are only available for employees who've been officially converted to new hires and onboarded. Learn how to onboard your pending hires

The header of their employee profile includes their name, pronouns and pronunciations, job title, department, start date, work email, and the option to manage their profile picture.


The employee's profile includes the following tabs:

Info tab

On the Info tab, you'll find additional personal information for the employee, details about their manager, and a list of their direct reports if the employee is assigned as a manager to other users.

Note: Coordinators have access to view or edit employee information based on permissions granted by your organization's Admin Owner. For example, coordinators may be able to view an employee's ethnicity but cannot edit it.


Any field with a private icon next to it indicates that the information is not viewable to other employees in your organization unless they have specified permissions granted by the Admin Owner.


Click Edit to add or make changes to the employee's information. Once finished, click Save.

30-day goals tab

Use the 30-day goals tab to configure and assign onboarding goals for newly-hired employees.


Admin tab

The admin tab allows you to perform certain administrative actions for an employee, such as:

Note: Only Owners can delete an employee's profile or view/edit the Other criteria rule. Owners need to grant permission for Coordinators to view and edit an employee's employment status.


If you are an Owner and need to delete an employee profile, click Delete Profile in the Additional Actions section. Then, select Yes, delete it to confirm the action.


Click Edit to update an employee's Employment Status or to add an Other Criteria rule. Click Save when you're done updating these Admin fields.


Tasks tab

The Tasks tab shows all tasks assigned to an employee, their manager, and other users in your organization, such as their Onboarding Coordinator.


Click Create a New Task to create and assign a new task to your employee. Click Add an Existing Task to assign an existing task that's already been created by your organization.

Documents tab

The Documents tab shows all documents and e-signatures assigned to your employee by you or your organization.

Note: Only Coordinators with permission granted by the Admin Owner to manage employee documents and signature requests can view the Documents tab. E-signature documents are only available for the Greenhouse Onboarding subscription tier. 


Click Add Document or Request Signature to add a new document or send an e-signature request to your employee. 

Click the ellipsis icon to Cancel a signature request or Download a signed document. If your employee has completed multiple signatures, you can select Download All to download all available signed documents.


If an e-signature requires a counter signature, you can also reassign the counter signer to a different user in your organization. Click the ellipsis icon then Edit Counter Signer to change the assigned counter signer.


Feedback tab

You can send feedback questions to an employee about their role and their experience with your organization in the Feedback tab. Each completed question provides details on the employee's answer date, response, and any additional comments they provided.


Email activity tab

Use the email activity tab to see a list of all the Greenhouse Onboarding emails that your organization has sent to an employee, their manager, or other users with assigned tasks related to this employee.

Note: The email activity tab does not include choreographed introduction emails.

Each entry in the email activity tab includes the email subject line, the recipient's address, and the time the email was sent.

Note: The email activity tab is only available to users with Owner access.
