The 'Welcome to the team' email is an introductory email sent from Greenhouse Onboarding to a new hire after they've been assigned an onboarding plan. In this email, new hires receive a link to start setting up their onboarding account and a summary of their assigned manager and department.
Greenhouse Onboarding provides a default version of this email, but your organization can also add custom variations of this email to target specific new hires.

Default 'Welcome to the team' email sections
When new hires receive the default 'Welcome to the team' email, they'll see the following core sections:

Add custom 'Welcome to the team' templates
Your organization can create custom template variations of the default 'Welcome to the team' email to personalize them for new hires with different locations, departments, employment statuses, or other criteria. New hires will receive a custom 'Welcome to the team' variation instead of the default email if they match the applied filter criteria.
To create a new 'Welcome to the team' email template, navigate to Settings > Onboarding Plan > Emails.
Scroll to Welcome to the team, then click Create template.
Use the email template editor to set up the following:
- Publish or turn off your new email variation
- Name your template
- Add a subject line
- Build your email message
- Apply new hire filter criteria
Note: Make sure each 'Welcome to the team' email variation has match criteria applied to filter for specific new hires. This ensures that the correct email template will reach new hires with matching locations, departments, employment statuses, or other criteria.
When you're done, click Save and Close.
Your organization's new 'Welcome to the team' email will be sent to any new hires who fulfill the criteria you've selected.
