Onboarding Plan: Emails

Notes: In order to add new emails to your organization's Onboarding Plan, you will need to have Admin level permissions or above.

Your Onboarding Plan comes prepopulated with default emails that will be sent out to members of your organization (with varying degrees of detail and instructions) when a New Hire is added. A user with Admin level permissions or above will be able to add new emails to welcome a New Hire to the team, and provide the New Hire with additional information about their onboarding process.

To manage your Onboarding Plan's emails, click on Settings from the navigational bar. Navigate to the Onboarding Plan header in the left-hand panel and click Emails.

Edit Default Email

To edit the existing default email for either Your Next Steps or Welcome to the Team, hover over Default under either Email Name and click Edit

From the Email Template dialogue box, customize the message that will be sent to the New Hire. We've included a Insert Token dropdown menu in the formatting panel to simplify inserting tokens into your email. 

Because this email will go out to all New Hires, you are unable to customize the email name or apply New Hire rules. When you have finished, click Preview to see a mock-up of your email or Save and Close.

Add New Email Variation

If you would like to send different Welcome to the Team and/or Your Next Steps emails to New Hires based on criteria you specify, navigate to either email panel and click +Add New.  

Note: Candidates will either get the default email or the variant email (if they satisfy the email's rules).

From the Email Template dialogue box, give your email template a name and customize the message. We've included a Insert Token dropdown menu in the formatting panel to simplify inserting tokens into your email. You can also configure the email's rules so that it is only sent to certain New Hires.

When you have finished, click Preview to see a mock-up of your email or Save and Close.

The variant email will be sent to New Hires that satisfies the rules you saved instead of the default email.
