Stage transition rules make your recruiting process more efficient by automating actions that occur when candidates are moved to a new stage in an interview plan.
For example, you can create a stage transition rule that automatically sends an availability request to the candidate when they’re moved into the phone interview stage.
Once a stage transition rule is created, you can copy it to other jobs and edit or delete it as needed.
Available stage transition rules
Greenhouse Recruiting offers the following stage transition rules.
Scheduling
- Send an availability request: When a candidate moves to a specified stage, they receive a request to provide their availability and begin the process of scheduling an interview. This rule can be configured for any stage with one or more schedulable interviews.
Note: When sending an availability request using a stage transition rule, you cannot CC other users.
- Send a self-schedule request: When a candidate moves to a specified stage, they are emailed a request to self-schedule an interview. You must set up candidate self-scheduling before you can use this stage transition rule.
Note: Self-schedule requests are for use in interview stages with a single interview. Stages with multiple interviews or interviewers, such as a multi-step onsite interview, can't be scheduled using candidate self-scheduling. Click here for more information on scheduling multi-step interviews.
- Send a Calendly request: When a candidate moves to a specified stage, they are emailed a Calendly request to self-schedule an interview. This rule can be configured for any stage with exactly one schedulable interview. The Calendly integration must be enabled before configuring this rule.
Note: Availability request rules and Calendly request rules are mutually exclusive; only one of these two rule types can be configured for a single stage.
Assessment
- Send a take-home test: When a candidate moves into a Take Home Test, Document Submission, or Trial Project stage, you can automatically send the email containing Greenhouse Recruiting's candidate test.
- Send a partner take-home test: When a candidate moves into a partner's Take Home Test stage, which is named after the partner, you can automatically send the email containing the partner's candidate test.
Note: At this time, we do not support partner take-home test stage transition rules for the following partners: ClassMarker, CoderPad Live, Codility, HireVue and Spark Hire.
Candidate communication
- Send a candidate email: When a candidate moves to a specified stage, they receive a templated email message. You can use this email to send general information about the interview process, link to external forms or documents, and more. This rule can be configured for any stage.
- Send a form: When a candidate moves to a specified stage, they receive a form. You can use this form for various use cases, such as capturing more detailed candidate information or collecting a list of references.
