Once a campaign pool is created, prospects can be added in the following ways:

  • When adding a prospect through these methods, the user associated with the request must have a sourcing automation seat to select a campaign pool.
  • If a prospect is added to a campaign pool without an email address, a lookup is performed based on the priority configured in your account settings. Learn more about lookup credits here

This article outlines how to use some of the various methods to add prospects to a campaign pool. 

Add a new prospect to Greenhouse Recruiting

Click Add in the navigation bar, then select Add a Candidate from the dropdown menu.  

Select Prospect so the Add a Prospect page appears.

Drag and drop a resume into the upload box or select Choose File to manually upload a resume from your files. Information from the resume will parse to its respective field. 

Note: Review our support article, unsuccessful resume parse, if the resume doesn't import successfully. 

Click the dropdown menu under Pool and select a Campaign Pool

Once you select the campaign pool, any prefilled data you configured in the campaign pool settings tab auto-populates on the page.   

Note: A pool stage is not available to select as campaign pools don't have stages. Instead, campaign pools have email steps that determine the number of emails sent to a prospect if they don't respond.

Continue filling out the rest of the page with the prospect's information. Once finished, click Add this prospect at the bottom of the page.

Update an existing prospect's profile

You can locate a prospect's profile in two ways:

  • Finding the prospect on the All Candidates page using the filters.
  • Opening a prospect pool the prospect through CRM (CRM > Ellipses icon next to the prospect pool > view in candidate search)

Click on a Prospect's Name to access their profile. 

Once on the prospect's profile, click the Pencil icon inline with the Pool name. 

The pencil icon allows you to either move their prospect application from a prospect pool to a campaign pool or start the prospecting process by adding them to a campaign pool for the first time. 

Note: Since campaign pools provide automated email sequencing and activity tracking, adding a Touchpoint is not required at this step. Also, a pool stage is not available to select as campaign pools do not have stages. Instead, campaign pools have email steps that determine the number of emails sent to a prospect if they do not respond.

Start a new prospect process in bulk

You can run a bulk prospect process by clicking Bulk Actions at the top of the All Candidates page.

Note: Use the filters to narrow down the list of candidates to only prospects in the pool. You can select these filters automatically by opening the prospect pool from the CRM page (CRM > ellipses icon > view in candidate search)

Add a checkmark next to all prospects that are starting the prospecting process or click Select All

Click Edit Selected

Select Start New Prospect Process within the Candidates section.

Select a Campaign Pool from the dropdown and fill in the remaining fields.

Once finished, click Start New Prospect Process at the bottom of the dialog box.

Move prospects to a campaign pool in bulk

Once you've narrowed down a list of prospects on the All Candidates page, you can do a bulk action to move the prospects to another pool or stage.

When you're running this bulk action, you'll need to select a new campaign pool. Once the new pool is selected, click Save.
