Managing prospects is an important task for quickly finding qualified candidates. Prospect pools and stages allow your organization to manage prospects more efficiently.

In Greenhouse Recruiting, a prospect pool is a larger group of available prospects, such as talent for the upcoming year. You can control which users can see prospect pools and prospects by assigning a job, department or office to individual pools. Prospect pools without restrictions are visible to all CRM users.

A stage is a smaller group inside of a pool where you can track prospects at a more detailed level. Like interview stages, pool stages can represent specific contact points, such as first contact, interested groups, or on-hold prospects.

Assign a default prospect pool

To view or change your organization's default prospect pool, go to Configure, then select Organization. Scroll to Default Prospect Pool and select a pool.Screenshot 2024-08-24 at 7.20.33 PM.png

Create a new prospect pool

To create a new pool, select CRM at the top of the page. Scroll to Prospect pools, then select See all.

Next, select Create a prospect pool.

Add a name and description. Then select your pool's jobs, departments and offices. Select Create.

Note: Your prospect pool will inherit the permissions of its jobs, departments and offices. Depending on their permissions, some users may not be able to view the pool or its prospects.

You're now in your new prospect pool, where you'll manage your prospects, stages and settings.

Add or edit a stage to a prospect pool

To add a stage, go to the Stages tab, then select Add or edit. Select Add a new stage.

Click Select a prospect pool to reuse a stage from another prospect pool.

Tip: Reorder your pool's stages with the drag-and-drop icon.

Edit a prospect pool's settings

You can configure and edit your prospect pool in the Settings tab. Here you can add or edit:

  • Pool names
  • Pool description
  • Admins
  • Departments
  • Offices
  • Jobs

Delete a prospect pool

Deleting a prospect pool completely removes the pool from your organization. When a pool is deleted, you won't be able to view candidates that were previously added to the pool.

To delete a prospect pool, select the ellipses icon next to the pool. Choose Delete from the dropdown menu. Select where you'd like to move the pool's existing prospects. Then, confirm you want to delete the pool and move its prospects.

Archive a prospect pool

You can archive a prospect pool by selecting the ellipses icon and choosing Archive from the dropdown menu.

Note: A CRM Admin can archive or restore any prospect pool. However, normal CRM users must be a Prospect Pool Admin to archive or restore a specific prospect pool. To learn more, click here.

Restore an archived prospect pool

To restore an archived pool, select Archived pools from the stages filter.

Find the prospect pool that you'd like to restore, and select the ellipses icon. Then, click Restore.
