The Candidates page includes a variety of filters that can be used to adjust the list of displayed candidate and/or prospect applications. Filtering the list of candidate and prospect applications can make it easier to view specific sets of profiles (such as those in prospect pools, with interviews to be scheduled, with scorecards due, assigned to a specific recruiter, or requiring a bulk action).

Note: The Candidates page displays individual candidate and prospect applications, and not individual candidate/prospect profiles. If a single candidate has applied to more than one job or a single prospect is in multiple pools, that person will appear on the Candidates page once per application, regardless of if those applications are associated with the same profile.

Use candidate filters

To begin, click Candidates from the navigation bar.

You will be directed to the Candidates page, which allows you to view a complete list of all applications that have been submitted to your organization. By default, the Candidates page shows all active candidate applications on open jobs. The candidate filters on the left-hand panel can be used to edit or expand your search, such as to include prospects, rejected applications, or closed jobs.

Apply candidate filter

To apply a candidate filter, click the applicable section to expand.

Locate the filter you wish to apply and click the dropdown to select an option.

Note: Some filters use a checkbox or date range instead of a dropdown menu. See below for more guidance on the available filters.

The selected filter will be reflected at the top of the page, and the list of applications will adjust automatically to account for the filter.

Repeat this process to apply as many filters as necessary to adjust the list of applications.

Note: More than one option can be selected from a given filter. For example, if you wish to search for active, rejected, and hired candidate applications on open jobs, select each application status one at a time from the Profile Details > Status filter. Each filter will appear at the top of the All Candidates page as it is selected.

Remove candidate filter

To remove a candidate filter, locate the filter at the top of the Candidates page and click the X to the right of the filters.

The filter will be removed, and the list of applications will adjust automatically to reflect the change.

Available candidate filters

Application type

Type

The type of applications to be displayed. Options: Candidates only, Prospects only, Candidates + Prospects.

Note: The Prospects only and Candidates + Prospects filters require the Prospect feature or CRM.

Exclude migrated candidates Checking this box removes applications migrated to Greenhouse Recruiting from your previous ATS during a data transfer, if applicable.
Prospects on No Jobs

Checking this box includes unattached prospects in your results.

Note: This filter cannot be used if the Type filter is set to Candidates Only.

Jobs

Filter By Job Display applications only for the selected jobs. This filter includes options to filter jobs by status (open, closed, draft), department, office, and more.
Stage Display applications currently in a specified stage.
Reached Milestone Display applications that reached or surpassed the selected Milestone.
Job Post Submitted Display applications submitted through a specified job post.
To be sent Display applications for candidates who did not apply through your job board and have not been sent a job post request email.
Pending submission Display applications for candidates who did not apply through your job board and have been sent a job post request email, but have not filled out the job post request yet.

Form and Form Status

Display applications based on a specified form and the status of that form for the application (to be sent, pending submission, submitted).

CRM

Note: CRM filters are available only for organizations with the Prospects and/or CRM features.

Prospect Pool Display prospect processes in a specified Prospect Pool.
Prospect Pool Stage Display prospect processes in a specified Prospect Pool Stage.
Prospect Owner Display prospect processes assigned to a specified Prospect Owner.
Event Display prospect processes added through a specified Event.
Last Touchpoint

Display prospect processes based on the date of their most recently recorded Touchpoint.

Note: This touchpoint is only available for Expert tier customers.

Profile details

Custom Field and Search Custom Field Display applications whose candidate profiles or applications include a specified response to a selected custom field. Filterable custom fields include custom agency questions, custom application fields, custom candidate fields, custom offer fields, and custom referral questions.
Candidate Tag Display applications whose candidate profiles include a specified candidate tag.
Status Display applications based on the status associated with their application (active, rejected, hired, converted).
Rejection Reason

Display applications based on their rejection reason.

Note: Be sure to first filter for applications with a rejected status when using this filter.

Last Activity Display applications whose most recent profile activity occurred on or after a specified date, or during a specified date range.
Applied On Display applications that were submitted on or after a specified date, or during a specified date range.
Hired On Display applications that were marked as hired on or after a specified date, or during a specified date range.
Show potential duplicates Checking this box displays applications that might be associated with duplicate candidate profiles based matching names and email addresses. Identifying duplicate candidate profiles can help your team determine when to merge candidate profiles.

Source

Source Display applications based on the associated source.
Credited To Display applications based on the associated referrer or "who gets credit."

Responsibility

Recruiter Display applications based on the recruiter associated with their candidate profile.
Coordinator Display applications based on the coordinator associated with their candidate profile.
Who I'm Following Checking this box displays applications only for candidates you are following.

Pipeline tasks

Needs Decision Checking this box filters applications where all interview/scorecard/review tasks for the current stage have been completed, and the application is due to be advanced or rejected.
All Interviews Checking this box automatically checks all of the following boxes: To Be Scheduled, Scheduled, Scorecards Due, Completed Scorecards.
To Be Scheduled Checking this box filters applications with an outstanding scheduling task.
Scheduled Checking this box filters applications with upcoming scheduled interviews.
Scorecards Due Checking this box filters applications with scorecards due.
Completed Scorecards Checking this box filters applications that have had scorecards submitted for the current stage.
Interview Date

Filter applications with an interview scheduled on or after a specified date, or during a specified date range.

Note: This filter reviews interviews scheduled for the application's current stage only.

Availability Status Filter applications based on the status of their availability for their current interview stage (not requested, requested, received, confirmation sent).
Test Status

Filter applications based on the status of their take-home test (to be sent, waiting, graded).

Note: This filter reviews the test status for the application's current stage only.

Test Score

Filter applications based on their exact test score or test score range.

Note: This filter reviews the test score for the application's current stage only.

Offer Filter applications based on offer status (to be created, created, to be sent, sent).

Education

School Name Filter applications based on the candidate-provided school name.
Degree Filter applications based on the candidate-provided degree.
Discipline Filter applications based on the candidate-provided discipline.
Education Start Filter applications based on the candidate-provided education start date.
Education End Filter applications based on the candidate-provided education end date.
Most Recent Education Only Checking this box ignores older education information for candidates who have provided more than one education entry; only the most recent education information will be searched by other Education filters.
