If interviews have disappeared from Greenhouse Recruiting but still appear on your calendar and the candidate’s activity feed, information may be missing from the calendar event.

Try any of the steps below to re-sync Greenhouse Recruiting with your calendar.

Is the Greenhouse Recruiting calendar email address included on the event?

When you schedule an interview through Greenhouse Recruiting, the calendar event automatically includes a unique calendar email address to keep your event synced with Greenhouse Recruiting.

Removing the calendar email address from your event may cause it to un-sync and disappear from a candidate’s profile.

To re-sync your calendar with Greenhouse Recruiting, find your organization’s calendar email address and add it to the event on your calendar. When you save the event, make sure to send the update to all attendees.

Note: A Greenhouse Recruiting calendar email address is schedule@[plant name].greenhouse.io. For example, schedule@iris.greenhouse.io is a calendar email address.

The scheduling email address is customized for your specific configuration. To find your calendar email address, visit Identify your organization's calendar email address.

Is the interview kit link in the body of the event?

When you schedule an interview through Greenhouse Recruiting, an interview kit link is automatically generated in the body of the calendar event. This link is tied to the specific interview stage, interviewers, and candidates.

Any changes to this link – including removing it – can cause the event to un-sync and disappear from Greenhouse Recruiting.

To re-sync your calendar with Greenhouse Recruiting, add the interview kit link to the body of your calendar event. When you save the event, make sure to send the update to all attendees.

Did you make changes to the event in your calendar, but didn’t send updates to all attendees?

Any changes to the time, date, or attendee details must be saved and sent to all attendees. 

To correct this, make a small update to the body of the event, such as adding extra punctuation or minor text, then save your change and choose to send the update to all attendees. Make sure the Greenhouse Recruiting calendar email address is listed as an attendee on the event.

The changes you made to your calendar event should sync and your event should appear on both your calendar and in Greenhouse Recruiting.

Note: Once an event is scheduled, you cannot move it to a new calendar. For example if you were to move an event from John’s calendar to Suleika’s calendar, the event may not sync with Greenhouse Recruiting.

If you need to move a scheduled interview to a new calendar, it’s best to delete the scheduled interview and create a new one through Greenhouse Recruiting.
