Greenhouse Recruiting’s integration with Karat allows your organization to seamlessly add Karat's assessment to a job's interview plan, invite candidates to the Karat interview, and receive result summaries within Greenhouse. In this article, we will cover how to:
Enable the Greenhouse Recruiting / Karat Integration
Begin by navigating to the Karat platform, Central. Click Settings on the left-hand pane, then click Integrations. Copy the Interview – Assessment API Key. If you are also using Karat Code Challenges, copy the Code Challenge – Assessment API Key as well.
Note: Do not send the API key in this initial email.
The Greenhouse Support Team will respond with a SendSafely link for you to enter your API key. A notification will be sent to the Greenhouse Support Team after you have entered your API key and they will email you to confirm that your API key has been set up in your account and your integration is enabled.
Note: To verify your identity, the Greenhouse Support Team might request you provide a Support Verification Code before adding the API key to your organization's account.
Add Karat Stage to Job's Interview Plan
Once the Greenhouse Recruiting / Karat integration is enabled for your organization, you will be able to add the Karat assessment as an interview stage.
To do this for an existing job, navigate to a job (All Jobs > Job Name) and click Job Setup from the Job navigation bar. From the Job Setup page, navigate to Interview Plan on the left-hand panel.
Scroll down the page and click + Add a Stage.
From the Add Stage dialog box, select the Karat stage. When finished, click Add to apply the stage to the job's interview plan.
The Karat stage is added to the job's interview plan.
Configure Karat Interview Stage
Once the stage has been added to the job's interview plan, click Edit.
On the Edit Interview Kit page, click Edit Take Home Test. Use the provided dropdown menu to choose from the assessments you have previously set up in Karat.
Select the appropriate assessment and assign at least one Greenhouse Recruiting user to grade/review submitted assessments. When finished, click Save.
Note: Keep in mind that all configuration of the assessment itself, as well as the email template, will be completed by your Karat Account Manager.
Send and Review the Test
When candidates are moved into the Karat interview stage, Greenhouse Recruiting will display a Send Test link on their candidate profile.
Note: When you send a test from Greenhouse Recruiting, the interview instructions actually are sent by Karat.
The status of the assessment will be viewable in Greenhouse Recruiting.
Once the candidate has submitted their test, their Activity Feed will contain a link to view the submitted test on Karat's platform.
Enable Status Updates and Advanced Insights with Karat
Now that you are able to invite candidates to the Karat interview and receive results all within Greenhouse Recruiting, you can also extend your integration using Greenhouse Recruiting's Harvest API. This will allow you to:
- Receive Karat status updates in Greenhouse Recruiting
- Enable Karat to align the bar based on onsite outcomes
- Enable Karat to provide advanced insights
To enable status updates and advanced insights, you will need to create a Harvest API key in Greenhouse Recruiting, then add the Harvest API key to Karat. Creating a Harvest API requires the developer permission Can manage ALL organization’s API Credentials.
Contact a Greenhouse user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the API credential management permission to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon > Users > Your Name.
The user with Site Admin level permissions should navigate to the Permissions panel on your user page and expand the Developer Permissions dropdown menu.
Select Can manage ALL organization’s API Credentials so that a check is in the checkbox. When finished, click Save.
To create a Harvest API key for the Greenhouse Recruiting / Karat integration, click the Configure icon in the upper right-hand corner. Navigate to Dev Center on the left-hand panel.
From the Dev Center page, click API Credential Management.
From the API Credential Management page, click Create New API Key to generate the API key for Karat.
From the Create new credential dialog box, give your API key a name and select Harvest from the Type dropdown menu. When finished, click Create.
On the Manage API Key Permissions page, grant the Karat Harvest API key the permissions provided to you by your Karat Account Manager. If you have not received information around this, please contact your Karat Account Manager for the endpoints Karat requires for this integration. When finished, click Update.
Once you have created the Harvest API key in Greenhouse Recruiting, you will need to add the Harvest API key to Central. To do so, log into Central and navigate to Settings > Integrations, then paste the Harvest API key created in Greenhouse Recruiting.
Once you have completed these steps, your Karat Account Manager will contact you confirming the integration was successful.
Enable scheduling statuses with Harvest API
Karat also supports posting notes to the activity feed with Karat scheduling statuses (e.g.: Karat interview scheduled, Karat interview cancelled, etc.) as well as a summary of results.
To enable these notes to be posted you must have Harvest API’ s Candidates/POST: Add Note endpoint enabled (talk to your Customer Success Manager or Solutions Engineer for more info on enabling the Harvest API).
Once you’ve enabled the Harvest API endpoint, create a new Site Admin user in Greenhouse with the name you would like published results to appear from, e.g.: Karat.
Once you have created a site-wide admin user for Karat to post notes from, add the Greenhouse User ID found in the Greenhouse URL to Central (Settings > Integrations > Harvest Settings > User ID for Pushing Updates). Note: The Harvest API key must be added before you’ll see the field for inputting the User ID. Also note that providing the User ID does not grant any additional permissions to Karat and is used solely for publishing status updates.
