Job Post Request Emails allow your organization to send job post questions to candidates or referrals added manually into your Greenhouse account to capture their structured data. Sent via an email to the manually added candidate or referral, you can send a job post request for live, internal, and/or offline job posts.

Note: A job post request email cannot be sent to candidates that have already submitted a job post.
Configure Job Post Request Email Template(s)
Greenhouse provides you with an editable email template to request answers to job post questions from candidates and referrals added manually into your account.
To view or edit the default job post request email template, click the Configure icon in the upper right-hand corner of the screen and select Email Templates from the left-hand panel.
From the email templates page, navigate to Default Job Post Request and click the Edit icon in the same row.
Customize the template name, sender address, subject line, content using the provided email tokens, etc.
Note: The {{SUBMISSION_LINK}}
token provides a URL link to the specific job post so your organization can collect the candidate's structured data.
When you have finished, click Save.
If you would like to create multiple versions of the Job Post Request Email, navigate back to the Email Templates page (Dashboard > Configure > Email Templates).
To create additional versions of this email template that are available to all users with appropriate permissions at your organization, click + New inline with Organization-Wide Templates. To create additional versions of this email template that are available for your own user account only, click + New inline with My Templates.
From the Create an Email Template page, fill in the appropriate fields for your new template. Be sure to select Job Post Request from the Type dropdown menu.
When finished, click Save.
Send Job Post Questions to Individual Candidates or Referrals
To send job post questions to an individual candidate who was manually added to your account, navigate to their profile.
From the candidate's profile, navigate to the On Job panel and click the Application tab.
From the Application tab, navigate to the Job Post Questions menu and click Send.
In the subsequent dialog box, select a job post and template from the respective dropdown menus to send to the candidate.
Note: To send job post questions to the candidate sans basic fields, click the checkbox for Hide basic fields.
Note: In the Send Job Post dialog window, you will see the {{SUBMISSION_LINK}}
token represented by a placeholder link of https://grnh.se/r/tokenX
. The placeholder link will be replaced with a valid submission link when the email is sent to the candidate.
When finished, click Send Email.
The candidate will receive an email with a submission link to submit responses to the job post questions.
Responses submitted by the candidate/referral will be added to their profile.
Note: Responses to job post questions will work with Greenhouse's Auto-Tag feature but will not work with Auto-Reject.
The Greenhouse Recruiting user who sent the job post form will be notified once the manually added candidate or referral submits their response.
Send Job Post Questions in Bulk
To send job post questions to multiple candidates simultaneously, click All Jobs on the navigation bar and select a job from the subsequent page.
From the Job Dashboard, navigate to the Candidates tab. From the Candidates page, use the left-hand panel to expand the Jobs pane and click the checkbox for To be sent. Click Bulk Actions at the top-right of the page.
Select each candidate you would like to send job post questions to by selecting the checkbox beside their name. Once all relevant candidates have been selected for the bulk action, click Edit Selected (#).
From the subsequent dialog box, click Send Job Posts.
From the subsequent dialog box, select a job post and template from the respective drop-down menus.
Note: To send job post questions to the candidate sans basic fields, click the checkbox for Hide basic fields.
When you have finished, click Send Email.
All candidates selected will receive an email with a submission link that they can follow to submit responses to job post questions. Responses will be merged with the appropriate candidate's existing profile.
Note: Responses to job post questions will work with Greenhouse's Auto-Tag feature but will not work with Auto-Reject.
The Greenhouse Recruiting user who sent the job post forms will be notified once the manually added candidates submit their response.
