With Auto-Reject, your organization can set up Application Rules so that, based on an applicant's answer to a question, they will automatically be rejected as a potential candidate. Using Auto-Reject, your organization can also automatically assign a rejection reason and send an email to the applicant about the rejection
Use Case: For example, for the question, "Do you have a Class A Commercial Driver's License (CDL)?" you may want to automatically reject applicants who do not already possess the license because the position requires driving a tractor trailer.
In this article we will cover the steps involved in creating an Auto-Reject Application Rule.
Create Custom Job Post Question
Before creating an Auto-Reject Application Rule, your organization needs to create a custom job post question with a response that will Auto-Reject the applicant. The directions that follow detail how to add a custom question to an existing job post.
- Yes/No
- Single select
- Multi select
Click All Jobs from the navigation bar and select a job from the subsequent list.
Click Job Setup and select Job Posts on the left-hand panel.
Click inline with the name of the job post and navigate down the subsequent page to the Custom Application Question section. Click Add Custom Question.
Input your question in the appropriate field and choose either Yes/No, Single Select, or Multi Select from the Answer type field. Fill in response choices in the Options field if appropriate. When you have finished, click Add.
When you have returned to the Edit Your Job Post page, scroll to the bottom and click Preview. Review your job post from the Preview screen and click Save. Your custom job post question is now saved.
Create Auto-Reject Rule
Now that the job has a custom application question, you can assign an Auto-Reject rule to a response. While viewing the job post for job, click # rules or Manage Rules under the Application Rules column.
From the Rules page, you can edit, delete, and add new rules. To create a new application rule, click Add a Rule
From the Add a Rule dialog box, select your job post question, the candidate response, and click the check box for Auto-Reject.
From the Rejection reason drop-down menu, select the rejection reason that will be assigned to the applicant who answers with the specified response.
You may wish to create a new Tag or Rejection Reason for Auto-Rejected candidates to make it easier to identify candidates who are automatically rejected. To learn how to create a custom rejection reason, click here.
Note: You can also tag Auto-Rejected candidates with customized candidate tags by checking the box next to Tag.
Optionally, you can also send a rejection email to the applicant using a rejection email template. To send a rejection email, check the box next to Send email.
From the additional fields, select an Email Template to send, when the email should be sent, and the timezone. To learn more about customizing email templates, click here.
When finished, click Save.
Candidates who respond to the question with the designated response will now be Auto-Rejected.
Note: Anyone set up to receive notifications about new candidate applications will not be notified of Auto-Rejected applicants.
View Auto-Rejected Candidates
To view candidates who were Auto-Rejected based on the Application Rules you created, click All Candidates on your navigation bar.
From the top of the page, click to remove the active filter.
To filter by rejection reason, expand Profile Details on the left-hand panel and select the rejection reason from the dropdown menu.
Note: You can also filter by a Candidate Tag if you applied a tag to Auto-Rejected candidates.
The filtered list will show all candidates rejected because of the rejection reason. To check if a candidate was Auto-Rejected, click on the individual's name and click on Activity Feed.
From the Activity Feed you can see if the candidate was Auto-Rejected, the date of the rejection, the reason, and who created the Auto-Reject Application Rule.
