Note: Any user with Admin-level permissions or above can add new hires to Greenhouse Onboarding.
In Greenhouse Onboarding, new hires are added in one of two ways:
- By manually creating a new hire
- By converting a pending hire* to a new hire
* Pending hires are automatically added to Greenhouse Onboarding from Greenhouse Recruiting after a candidate has been marked as Hired.
In this article, we will cover how to add a new hire from either starting point listed above, and then assign an Onboarding Plan to the new hire.
To manually add a new hire, begin by clicking Add a New Hire from your Greenhouse Onboarding Dashboard. To convert a pending hire to a new hire, begin by navigating to the Pending Hires panel on your Greenhouse Onboarding Dashboard and clicking a specific new hire.
From the subsequent page, either input new hire details (if you are adding a new hire manually), or confirm the pre-populated information (if you are converting a pending hire). Make any changes needed, including adding users via the People to Notify panel if appropriate.
Use the Onboarding Criteria panel to assign a specified Onboarding Plan to the new hire if needed. To learn more about configuring Onboarding Plans, click here.
When finished, click Review Onboarding Plan at the bottom-right of the page.
Note: If you wish to create a new profile in Greenhouse Onboarding without assigning an Onboarding Plan (such as for adding existing employees to the system), check the box for Skip Onboarding Plan, then click Create Profile. Emails from your Onboarding Plan still will be sent to the individual, but no feedback, tasks, or e-signatures will be assigned to them.
On the subsequent page, review the new hire's Onboarding Plan. Review the top panel to confirm the criteria (provided on the previous page) that generated the plan.
To add additional tasks, click Add Task.
To edit existing tasks, click the name of an individual task and reconfigure the task's details. When finished, click Save edits.
To add an additional e-signature template to the Onboarding Plan, navigate to the E-Signature Requests panel and click the Select E-Signature Templates dropdown to select the template you wish to add.
When are finished reviewing the Onboarding Plan, click Assign Plan.
The final page summarizes the new hire's details and Onboarding Plan, including an option to preview their Welcome Experience.
The manually created or pending hire has been added to Greenhouse Onboarding as a new hire and assigned an Onboarding Plan. Tasks, emails, e-signature requests, and feedback questions will be assigned to the new hire automatically based on their Onboarding Plan.
