Permissions cheat sheet

This list includes common actions taken in Greenhouse Recruiting along with the product tier and permissions you'll need to perform them.

Grant developer permissions to your IT team

  • Product tier: Available for all subscription tiers
  • Assigner permissions: Site Admin with the user-specific permission Edit another user's advanced permissions
  • Assignee permissions: Select one or more permissions in the Developer permissions section of the user profile.

Allow your IT team to add new users

  • Product tier: Available for all subscription tiers
  • Assigner permissions: Site Admin with the user-specific permission Edit another user's advanced permissions
  • Assignee permissions: Site Admin or Job Admin with the user-specific permission Invite new users to Greenhouse and reactivate deactivated users.

Give a user access to your CRM

  • Product tier: Available for all subscription tiers
  • Assigner permissions: Site Admin with the user-specific permission Edit another user's advanced permissions

Note: Some specific CRM features may only be available to higher subscription tiers.

  • Assignee permissions: Permissions depend on what you want the user to be able to do in the CRM. Learn more about CRM permissions here.

Assign permissions to a user for all future jobs

Tip: You can also exclude a user from having permissions on future jobs.

Assign permissions to users in bulk

  • Product tier: Available for Advanced and Expert subscription tiers
  • Assigner permissions: Site Admin, or Job Admin with the Job Admin permission Can add and remove users to their assigned jobs
  • Assignee permissions: Select one or more permissions using the bulk actions feature.

Add a user as an approver on a job

  • Product tier: Available for Advanced and Expert subscription tiers
  • Assigner permissions: Site Admin with the user-specific permission Create and override default approval flows
  • Assignee permissions: Job Admin with the Job Admin permission Can view and edit private job fields and approve/request approval on jobs

Add a user as an interviewer on a job

  • Product tier: Available for all subscription tiers
  • Assigner permissions: Site Admin or Job Admin
  • Assignee permissions: Any permission level, added to the Interviewers dropdown in the interview scheduling window

View private candidate profiles

  • Product tier: Available for all subscription tiers
  • Assigner permissions: Site Admin with the user-specific permission Edit another user's advanced permissions
  • Assignee permissions: Site Admin with the user-specific permission Create and view private candidates, or Job Admin with the user-specific permission Create and view private candidates who is also assigned to one of the private candidate's jobs

Edit your scorecard after it's been submitted

  • Product tier: Available for all subscription tiers
  • Assigner permissions: Site Admin or Job Admin
  • Assignee permissions: Job Admin on the job the scorecard is associated with

View all the submitted scorecards for a candidate's application

  • Product tier: Available for all subscription tiers
  • Assigner permissions: Site Admin with the user-specific permission Edit another user's advanced permissions
  • Assignee permissions: Job Admin assigned to a Job Admin level with the permission Can view candidate scorecards submitted by other users set to Always or After Submit

View a candidate's offers

  • Product tier: Available for all subscription tiers
  • Assigner permissions: Site Admin or Job Admin
  • Assignee permissions: Site Admin with the user-specific permission See private notes, salary info, manage offers, request approval, and approve jobs/offers, or Job Admin with the Job Admin permission View and edit offers and approve/request approval on offers

Tip: Offers can also be viewed as file attachments in emails.

Mark a candidate as hired

  • Product tier: Available for all subscription tiers
  • Assigner permissions: Site Admin or Job Admin
  • Assignee permissions: Site Admin or Job Admin assigned on the job you want to hire the candidate for

Note: Organizations using offer approvals will require a different product tier and permissions. Learn more.

View the profile of a hired candidate

  • Product tier: Available for all subscription tiers
  • Assigner permissions: Site Admin, or Job Admin with the Job Admin permission Can advance candidates/prospects
  • Assignee permissions: Job Admin assigned to at least one job on the candidate's profile

View reports

  • Product tier: Essential reports are available for all subscription tiers. Custom reports are available for Advanced and Expert subscription tiers.
  • Assigner and assignee permissions: Different reports require different permissions. To view an Essential report, the appropriate user must grant the correct permissions for that report. To view a Custom report, a Site Admin or Job admin must share the report from the report page.

Deactivate a user

  • Product tier: Available for all subscription tiers
  • Assigner permissions: Site Admin
  • Assignee permissions: Site Admin
