Permissions: Site Admin

Greenhouse Notetaker records interviews in the background so interviewers can stay focused on the conversation and structured hiring practices. When filling out scorecards, interviewers can review interview transcripts and AI-generated notes to quickly complete feedback without losing interview context.

This feature is currently in beta and may not be available to your organization.

Turning on Greenhouse Notetaker for your organization

As a participant of the beta, Greenhouse Notetaker is already enabled for your organization.

Update permissions

Site Admins can give Job Admins permission to view other interviewers' notes and transcripts.

Go to Configure, then select Permissions from the left-hand menu. Find See and manage Job Admin levels on the page and select it.

Select which Job Admin levels should receive the permission Can view AI notetaking recordings, transcripts, and notes. It's required for Job Admins to also have Can view and edit candidates and prospects permission to view other interviewers' AI notetaking materials.

Enable on a job

A Site Admin or a Job Admin with permission to manage the job can enable Greenhouse Notetaker for interviews in the interview plan.

To enable Greenhouse Notetaker, open the job and go to Job Setup > Interview Plan.

In the Additional Settings section at the bottom of the page, select the checkbox for Enable Greenhouse Notetaker.

After you enable Greenhouse Notetaker, choose which interviews should include a notetaker:

  • All interviews adds a notetaker to every interview in the interview plan, including interviews that are already scheduled.
  • Only interviews scheduled or updated moving forward adds a notetaker only to future interviews and interviews that are rescheduled after this setting is selected.

When Greenhouse Notetaker is enabled for a job, candidates see a disclosure that interviews may be recorded when scheduling interviews. Candidates can choose to opt in or opt out of interviews that use recording and transcription. Their selection applies to all future interviews in the hiring process.

Adding a notetaker to an interview

You can also add a notetaker to an interview manually if Greenhouse Notetaker is enabled for the job and the candidate has opted in to recording and transcription. For example, a notetaker may not have been added automatically if the candidate recently updated their consent status.

To add a notetaker, click the ellipsis icon next to the interview and select Add notetaker to interview.

If you're recruiting for a role where the candidate may not encounter the disclosure while scheduling an interview, such as an internal role, we recommend including the disclosure when communicating interview details to the candidate during your beta participation.

Example: "Interviews may be recorded and transcribed so interviewers can focus on the conversation rather than taking notes. Greenhouse Notetaker, an AI-powered feature, may use the transcript to generate interview notes and summaries. You can opt out now or at any time before the interview begins by contacting your recruiter."
