The "Download candidate data" and "Export reports" permissions give your organization more control over how personal candidate information is shared outside Greenhouse Recruiting. Configure these permissions to specify who can and cannot download reports, resumes, candidate packets and other candidate data.
Overview
To help your organization meet privacy and compliance requirements Greenhouse is introducing new permissions that limit how personal candidate information can leave the platform.
- "Download candidate data" controls whether Job Admins can download candidate data from Greenhouse (Job Admin permission)
- "Export reports" controls which users can download reports (User-specific permission)
Limiting who can download candidate data gives your team more control over how and when candidate data leaves Greenhouse which reduces the risk of candidate data being stored on local devices and provides more control over how candidate information is shared.
Configure who can download candidate data
- Go to Configure > Permission policies > Job Admin levels
- Locate the new permission Can download candidate data
- Turn this permission OFF for any Job Admin levels that shouldn’t be able to download candidate data.
- Click "Save." The change applies immediately to all users with that Job Admin level
What changes for Job Admins
When in a permission stipe with "Can download candidate data" ON, Job Admins can continue to download candidate data like they previously could as this is the current Greenhouse Recruiting default setting.
When this permission is turned OFF, Job Admins at that level:
- Can still view resumes and candidate packets within Greenhouse.
- In some cases, will no longer see links to download candidate documents.
- In other cases, will see deactivated links and text explaining that they don’t have permission to download candidate data.
Configure who can export reports
Exporting reports is a user-specific permission that's enabled or disabled for specific Job Admins.
- Go to Configure > Users
- Select the Job Admin user whose permission you're editing
- Scroll to Permissions, then Other actions
- Turn ON or OFF "Can export reports"
Select Save permissions.
What changes for users
Job Admins with this user-specific permission ON can email, download and export reports.
Job Admins with this user-specific permission OFF cannot email, download or export reports, but can view reports within Greenhouse.
