The "Can download candidate data" permission gives your organization more control over how personal candidate information is shared outside Greenhouse Recruiting. By turning this permission OFF for specific Job Admin levels, you can prevent these users from downloading resumes, candidate packets and other candidate data.
Overview
The "Can download candidate data" permission lets you control whether Job Admins can download candidate data from Greenhouse. This feature helps your organization meet privacy and compliance requirements by limiting how personal candidate information can leave the platform.
Limiting who can download candidate data gives your team more control over how and when candidate data leaves Greenhouse which reduces the risk of candidate data being stored on local devices and provides more control over how candidate information is shared internally.
Turn on "Can download candidate data"
- Go to Configure > Permission policies > Job admin levels.
- Locate the new permission Can download candidate data.
- Turn this permission OFF for any Job Admin levels that shouldn’t be able to download candidate data.
- Click "Save." The change applies immediately to all users with that Job Admin level.
What changes for users
When this permission is turned ON, Job Admins can continue to download candidate data like they previously could as this is the current Greenhouse Recruiting default setting.
When this permission is turned OFF, Job Admins at that level:
- Can still view resumes and candidate packets within Greenhouse.
- In some cases, will no longer see links to download candidate documents.
- In other cases, will see deactivated links and text explaining that they don’t have permission to download candidate data.
