HRIS Link can import and update jobs, offices, departments, and user accounts in Greenhouse Recruiting based on information in your HRIS. We recommend creating an integration system user (ISU) in Greenhouse Recruiting to authenticate HRIS Link changes.
What's an ISU?
An integration system user (ISU) is a Greenhouse Recruiting user account created for the sole purpose of running an integration. We recommend creating an ISU so that HRIS Link can seamlessly update jobs, offices and departments, and user accounts. Additionally, an ISU is useful for HRIS Link for a number of reasons:
- Rather than requiring a specific user at your organization to authenticate HRIS Link, which could cause downstream errors if the person loses permissions or can't access Greenhouse Recruiting, an ISU allows you to create a solid infrastructure for HRIS Link to work properly.
- The ISU will appear in all audit logs and reports, eliminating confusion about who performed a specific action.

Create an ISU for HRIS Link
To create an ISU on Greenhouse Recruiting for HRIS Link, click the Configure icon on your navigation bar, then click Users.
Click + New Users.
Enter an email address to be associated with the ISU.
Note: The ISU email address shouldn't be associated with a real user. The email address doesn't need a real inbox since the user isn't required to log in to Greenhouse Recruiting, but the email address should use your company's email domain.
Under the Set permissions section, click Site Admin and grant the ISU all Site Admin user-specific permissions.
Tip: We recommend creating a Site Admin ISU so HRIS Link can seamlessly update jobs, offices and departments, and user accounts. Additionally, creating an ISU that is a Site Admin makes your organization more prepared for HRIS Link improvements over time.
Uncheck the Send invitation email box at the bottom of the new user setup. Since the ISU is not associated with a real individual, they don't need to go through the normal Greenhouse Recruiting setup steps.
When finished, click Save.
To finish setup, navigate to Configure icon > Users > and click the newly created ISU from the list.
Tip: Check Never signed in only to find the user in the list.
Update the ISU details so the First name is HRIS and the Last name is Link. This setup ensures that the ISU shows up correctly in reports and in the change log.
When finished, click Save.
Copy the ISU's user ID to provide to your Greenhouse technical consultant. It should appear in the URL of your browser when on their user account profile.
