Real Links

Real Links is an employee referral platform which makes it easy for your employees to refer their contacts by automatically matching their contacts to relevant opportunities at your company and making referral matches. Your referral scheme is supported with a tried and tested referral methodology and backed by the gamification features and communication tools included with the Real Links platform.

Greenhouse Recruiting’s integration with Real Links allows jobs to be automatically imported to your company’s branded referral portal so your employees can easily find and share relevant roles with their contacts. When their contacts apply to a role they’ll automatically be added to your Greenhouse platform so you can manage them, just as you would any of your other sources of candidates. In this article, we will cover how to:

Integration Overview:

For existing customers of Greenhouse and Real Links, to set up the integration you will first need to create 2 API keys, one Partner API key and one Harvest key. These keys will then need to be securely sent to Real Links where they will add them to your Real Links portal to complete the integration.

Configure User Setup Permissions in Greenhouse Recruiting

In order to enable the Greenhouse/Real Links integration, you will need the developer permission ‘Can manage ALL organization’s API Credentials.’

Contact a Greenhouse user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the API credential management permission to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon   > Users > Your Name)

The user with Site Admin level permissions should navigate to the Permissions panel on your user page and expand the Developer Permissions dropdown menu. 

Select Can manage ALL organization’s API Credentials so that a check is in the checkbox. When finished, click Save.

Repeat as necessary for any other user that should have access to set up the integration.

Create a Partner API Key for the Greenhouse/Real Links Integration

To create a Partner API key for the integration, click on the Configure icon  in the upper right-hand corner. Navigate to Dev Center on the left-hand panel.

From the Dev Center page, click API Credential Management.

 

 

From the API Credential Management page, click Create New API Key to generate the API key for Real Links.

 

From the Create new credential dialog box, give your API key a name and select Partner from the Type dropdown menu. Next, find the appropriate partner from the Client Application dropdown menu. When finished, click Create.

 

 

Your Partner API key for the Greenhouse/Real Links integration is created and configured. Provide your Partner API key to your Real Links customer success team so they can set up the integration.

Create a Harvest API Key for the Greenhouse/Real Links Integration

To create a Harvest API key for the integration, click on the Configure icon  in the upper right-hand corner. Navigate to Dev Center on the left-hand panel.

 

 

From the Dev Center page, click API Credential Management.

 

 

From the API Credential Management page, click Create New API Key to generate the API key for Real Links.

 

 

From the Create new credential dialog box, give your API key a name and select Harvest from the Type dropdown menu. When finished, click Create.

 

 

On the Manage API Key Permissions page, please select the check boxes to allow permissions for:

Jobs Posts:

  • GET: List Job Posts,
  • GET: Retrieve Job Post for Job

Job Stages:

  • GET: List Job Stages

 

When finished, click Update.

 

 

Your Harvest API key for the Greenhouse/Real Links integration is created and configured. Provide your Harvest API key to your Real Links customer success team so they can set up the integration.

 

Data Real Links will have access to from your Greenhouse Integration

The integration between Greenhouse is designed to provide as little data as required to perform the actions of adding your open jobs to your Real Links platform, adding referral candidates to Greenhouse as they apply, updating the status of the candidates in Real Links, as you change their status in Greenhouse.

In terms of data access available:

Jobs:

All public job information, for public jobs.

The stages available for each candidate for a job (e.g Pre-Interview, Interview etc..)

Candidates:

When Creating a Candidate via the Ingestion API: Any information that is added to the Real Links apply box. This is typically at least Name, Phone, Email and Resume, but can be custom based on your requirements.

When Updating a Candidate via the Ingestion API:  application status, IDs (x2) and candidate name for candidates that have been created via Real Links.

 

How to finish setting up your Real Links / Greenhouse Integration

Once you have provided your Partner API and Harvest API keys to your Customer Success manager, they will be in touch to confirm the integration is complete and ready for testing. You will then be able to test the integration by making a test application on the Real Links platform and then moving the application through its stages in the Greenhouse platform.

 

Features provided by the Real Links / Greenhouse Integration

When a referral candidate applies on the Real Links platform via a referral link provided by an employee, the new candidate will automatically be added to Greenhouse with the referee name and the source listed as Real Links.

 

You can and should manage the candidate in Greenhouse as per your standard recruitment process.

 

Any of the changes you make to the candidate’s status will be reflected in Real Links within 60 minutes of the change being made within Greenhouse.

 

When the status is updated on Real Links, any points due will be awarded to the employee for the gamification features within Real Links.

 

Real Links only uses basic candidate stages (Applied, Interview, Hire, Unsuccessful) and any of your stages or custom stages in Greenhouse will be standardised into one of these stages in Real Links. An employee will receive a status update email and see the current status of their referral in Real Links if this functionality is enabled within Real Links.
