Real Links

Real Links is an employee referral platform which makes it easy for your employees to refer their contacts by automatically matching their contacts to relevant opportunities at your company and making referral matches. Your referral scheme is supported with a tried and tested referral methodology and backed by the gamification features and communication tools included with the Real Links platform.

Greenhouse Recruiting’s integration with Real Links allows jobs to be automatically imported to your company’s branded referral portal so your employees can easily find and share relevant roles with their contacts. When their contacts apply to a role, they're automatically added to your Greenhouse Recruiting platform so you can manage them, just as you would any of your other sources of candidates. When an employee provides any additional information about their referral, for example how they know them, the integration updates this information in the form of a note.  

To enable the integration, you must create two API keys in Greenhouse Recruiting — a Partner API key and a Harvest API key — then add the API keys to your Real Links portal.

Configure user setup permissions in Greenhouse Recruiting

To enable the Real Links integration, you need the developer permission Can manage ALL organization’s API Credentials.

Contact a Greenhouse Recruiting user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the API credential management permission to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon Configure.png > Users > Your Name.

The user with Site Admin level permissions should navigate to the User-Specific Permissions panel on your user page and expand the Developer Permissions dropdown menu. 

Select Can manage ALL organization’s API Credentials so a check is in the checkbox. When finished, click Save.

Repeat as necessary for any other user that should have access to set up the integration.

 

Create a System User in Greenhouse Recruiting

Real Links requires the email address of a system user to update candidate notes with further referral information; for example, the employee explaining how they know their referral. This can be an existing user's email address, but Real Links recommends setting up an email specifically for Real Links.

To create a new System User, click the Configure icon image-1.png and navigate to Users on the left panel. On the Users page, click + New Users

Name the new user Real Links, assign it an email address, and grant it Job Admin: Standard permissions. Click Save when finished. Provide the email address assigned to this new user to your Real Links customer success manager.

Create a Candidate Ingestion API key in Greenhouse Recruiting

To create a Candidate Ingestion API key for the integration, click the Configure icon Configure.png in the upper-right corner, and navigate to Dev Center on the left panel. From the Dev Center page, click API Credential Management.

From the API Credential Management page, click Create New API Key to generate the Candidate Ingestion API key for Real Links.

In the Create New Credential dialog box, make the following selections:

  • API Type: Candidate Ingestion
  • Partner: Real Links
  • Description: Real Links Candidate Ingestion API key

When finished, click Create to generate the Candidate Ingestion API key.

Your Candidate Ingestion API key for the Real Links integration is created and configured. Copy the API key and provide it to your Real Links customer success team so they can set up the integration.

 

Create a Harvest API key in Greenhouse Recruiting

To create a Harvest API key for the integration, click the Configure icon image-4.png in the upper-right corner, and navigate to Dev Center on the left panel. From the Dev Center page, click API Credential Management.

From the API Credential Management page, click Create New API Key to generate the API key for Real Links.

In the Create New Credential dialog box, make the following selections:

  • API Type: Harvest
  • Partner: Real Links
  • Description: Real Links Harvest API key

When finished, click Manage Permissions to generate the Harvest API key and automatically assign it the appropriate permissions required by Real Links.

In the subsequent dialog box, click Copy to save your API key to your clipboard. Store the API key in a secure location to provide to COMPANY in the next step. Click I have stored the API Key once you have copied and saved the key.

Note: You cannot access the full API key again after clicking I have stored the API Key. If you lose your API key and need to access it later, you must create a new API key, provide it to the integration partner, and then revoke access to the original key.

On the subsequent page, confirm the following permissions are assigned to your new API key:

  • Applications:
    • Post: Add Attachment to Application
  • Candidates:
    • Post: Add Note
  • Departments:
    • Get: List Departments
  • Jobs:
    • Get: Retrieve Job
    • Get: List Jobs
  • Job Posts:
    • Get: List Job Posts
    • Get: Retrieve Job Post for Job
  • Job Stages:
    • Get: List Job Stages

If any of the permissions above are not checked, place a check in the box next to the appropriate permission. Click Save when finished. 

Your Harvest API key for the Real Links integration is created and configured. Provide your Harvest API key along with the email address (see above) of a System User to your Real Links customer success team so they can set up the integration.

 

Finish enabling the Real Links integration

Once you have provided your Partner API and Harvest API keys to your Real Links customer success manager, they will be in touch to confirm the integration is complete and ready for testing. You can then test the integration by making a test application on the Real Links platform and moving the application through its stages in the Greenhouse Recruiting platform.

 

Greenhouse Recruiting data accessible by Real Links

The integration between Greenhouse Recruiting and Real Links is designed to provide as little data as required to perform the actions of adding your open jobs to your Real Links platform, adding referral candidates to Greenhouse Recruiting as they apply, and updating the status of the candidates in Real Links as you change their status in Greenhouse Recruiting.

In terms of data access available:

Jobs:

  • All public job information, for public jobs
  • The stages available for each candidate for a job (such as Pre-Interview, Interview, and so on)
  • The departments listed on the job

Candidates:

  • When creating a candidate via the Ingestion API: Any information that is added to the Real Links apply box. This is typically at least Name, Phone, Email, and Resume, but can be customized based on your requirements.
  • When updating a candidate via the Ingestion API: Application status, IDs (x2), and candidate name for candidates that have been created via Real Links.

 

Features available in the Real Links integration

When a referral candidate applies on the Real Links platform via a referral link provided by an employee, the new candidate is automatically added to Greenhouse Recruiting with the referee name and the source listed as Real Links.

You can and should manage the candidate in Greenhouse Recruiting per your standard recruitment process.

Any changes you make to the candidate’s status are reflected in Real Links within 60 minutes of making the change in Greenhouse Recruiting.

When the status is updated on Real Links, any points due are awarded to the employee for the gamification features within Real Links.

Real Links only uses basic candidate stages (Applied, Interview, Hire, Unsuccessful) and any of your stages or custom stages in Greenhouse Recruiting are standardized into one of these stages in Real Links. An employee receives a status update email and sees the current status of their referral in Real Links if this functionality is enabled within Real Links.
