Greenhouse Recruiting’s integration with Asurint allows your organization to add an Asurint background check to a job's interview plan. It also has efficient workflows with complete visibility of the hiring lifecycle. In this guide, we will cover how to:
- Retrieve Asurint Credentials
- Configure User Setup Permissions in Greenhouse Recruiting
- Configure Custom Fields for Greenhouse Recruiting / Asurint Integration
- Enable the Greenhouse Recruiting / Asurint Integration
- Create Harvest API key for Asurint
- Send Asurint Background Check
Retrieve Asurint Credentials
Before enabling the Greenhouse/Asurint integration, Greenhouse Recruiting will need three pieces of information:
- Asurint’s Endpoint URL
- Asurint’s Username and Password (necessary for web hook)
- Asurint Package ID Information
After a sales agreement has been signed with Asurint, a member of the Asurint implementations team will reach out to your organization directly to share information and begin the onboarding process. If you are an existing client of Asurint please reach out to Client Relations for assistance at support@asurint.com or 800.906.2035.
Configure User Setup Permissions in Greenhouse Recruiting
After you have received your endpoint URL and credentials from Asurint, contact a Greenhouse user in your organization with Site Admin level permissions with the additional user-specific permission: Can edit another user's advanced permissions.
Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon > Users > Your Name.
The user with Site Admin level permissions should navigate to the Permissions panel on your user page and expand the Developer Permissions dropdown menu.
Select Can manage and configure web hooks so that a check is in the checkbox. When finished, click Save.
In addition to the above developer permission, the user configuring the integration should also have a Site Admin permission level or a Job Admin permission level with the additional user-specific permission Can manage custom fields.
Configure Custom Fields for Greenhouse Recruiting / Asurint Integration
The number of custom fields you must configure in Greenhouse Recruiting is dependent on your package options. Please speak with your Asurint representative for more information regarding which custom fields you will need to configure. In this section we will detail the creation of a location ID custom field.
Click the Configure icon in the upper right-hand corner and select Custom Options on the left-hand panel.
Click Candidates from the subsequent page.
Note: Depending on the custom field being created, your organization will need to create the custom field under the appropriate section (e.g. Employment options would be created under Jobs). Please speak to your Asurint representative for more information.
Click + Add Field.
Use the subsequent dialog box to create the location ID field using the following parameters:
- Field: Location ID
- Description: Location Number
- Type: Short textbox
- Create new email token: LOCATION_ID
Note: The Immutable Field Key will generate after the custom field is saved. The Immutable Field Key must be presented exactly as location_id. If the immutable field key does not match, the integration will not work.
Click Save when finished.
Enable Greenhouse Recruiting / Asurint Integration
With Asurint’s endpoint URL and credentials copied, and custom fields configured, you are ready to enable the Greenhouse/Asurint integration.
To enable the integration, click the Configure icon in the upper right-hand corner and navigate to Dev Center on the left-hand panel.
From the Dev Center page, click Web Hooks. Click Web Hooks from the subsequent page.
You will be directed to a new page where you Create a New Web Hook. From this page provide the following details:
- Name: we suggest “Asurint Integration”
- When: Be sure to select the right web hook so that the web hook fires at the appropriate event in Greenhouse [Candidate has been Hired]
- Endpoint URL: The Endpoint URL received from the Asurint Client Implementations team
- Username and Password: The Credentials received from the Asurint Client Implementations team
When finished, click Create Web hook
Create Harvest API Key
To create a Harvest API key for the integration, click on the Configure icon in the upper right-hand corner. Navigate to Dev Center on the left-hand panel.
From the Dev Center page, click API Credential Management.
From the Create new credential dialog box, give your API key a name and select Harvest from the Type dropdown menu. When finished, click Create.
On the Manage API Key Permissions page, select the below permissions:
When finished, click Update and share the Harvest API key with your Asurint account manager.
That's it! Your Greenhouse account and Asurint account can now talk to each other.
Send Asurint Background Check
When an offer is created for a candidate, use the Asurint Background Package dropdown menu to select a package. Once the candidate is marked as Hired, an email link will be generated and sent directly to the candidate to complete the background forms.
Please contact your Asurint representative or contact support at support@asurint.com or 1.800.906.1674 for troubleshooting assistance regarding the integration.
