PeopleG2

PeopleG2's services range from employment screening and background checks to more strategic and advanced Human Capital Due Diligence services like Executive Screening. The Greenhouse Recruiting / PeopleG2 integration allows you to automatically take newly-hired candidates from Greenhouse Recruiting and add them to PeopleG2.

To link your Greenhouse Recruiting account, contact PeopleG2 Customer Success for an Endpoint URL and a Secret Key you will need to get started. Once you have both of those items, complete the following steps to link your accounts! 

In this article, we will cover how to: 

 

Configure User Setup Permissions in Greenhouse Recruiting

Contact a Greenhouse Recruiting user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the following permissions to your account: 

  • Can manage ALL organization's API Credentials
  • Can manage and configure web hooks

Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon configure.png > Users Your Name.

The user with Site Admin level permissions should navigate to the Permissions panel on your user page and expand the Developer Permissions dropdown menu.

Select Can manage and configure web hooks and Can manage ALL organization's API Credentials so a check is in each checkbox. When finished, click Save.

In addition to the above developer permission, the user configuring the integration should have a Site Admin permission level, or a Job Admin permission level with the additional user-specific permission Can manage custom fields

Repeat these steps for all users who should have access to set up the integration.

 

Create a Harvest API Key for the Greenhouse Recruiting / PeopleG2 Integration

To create a Harvest API key for the integration, click on the Configure icon configure.png in the upper right-hand corner. Navigate to Dev Center on the left-hand panel. 

From the Dev Center page, click API Credential Management.

From the API Credential Management page, click Create New API Key to generate the API key for PeopleG2.

From the Create new credential dialog box, give your API key a name and select Harvest from the Type dropdown menu. When finished, click Create.

On the Manage API Key Permissions page, click Select all, and then click Update at the bottom of the page.

Your Greenhouse Recruiting Harvest API Key is created. Navigate to the newly created API Key. Click Copy and send the key to your PeopleG2 representative.

Create the PeopleG2 Web Hook

Click on the Configure icon configure.png in the upper right-hand corner. Navigate to Dev Center on the left-hand panel. 

From the Dev Center page, click Web Hooks. Click Web Hooks from the subsequent page.

You will be directed to a page where you can create a new web hook. From this Create A New Web Hook page, provide the following details: 

  • Name: We suggest "PeopleG2 Integration"
  • When: Be sure to select the correct action so the web hook fires at the appropriate event in Greenhouse [Candidate has changed stage]
  • Endpoint URL: The Endpoint URL provided by your PeopleG2 representative
  • Username and Password: The Secret Key provided by your PeopleG2 representative

Click Advanced settings... and re-enter the Secret key provided to you by PeopleG2 in the Username field. Select "No" for the Disabled toggle.

Click Create Web hook

That is it! Your Greenhouse Recruiting account and PeopleG2 account can now talk to each other. These settings dictate execution of the PeopleG2 web hook once the end user transitions the candidate into an appropriate application stage for a given job.

 

Create Custom Candidate Fields 

This portion of the configuration allows PeopleG2 to provide Background Check status, a link to the Background Check report (when applicable), and the date the report is completed.

Click on the Configure icon configure.png in the upper right-hand corner, then click Custom Options on the left-hand panel.

Under the Company Custom Fields section, click Candidates

On the Manage Candidate Fields page, click + Add Field

Add "Background Check Status" for the Field name, and select Short Textbox as the Type. Click Save.

Repeat the steps above to create the following additional Custom Candidate fields: 

Custom Candidate Field Name Custom Candidate Field Type
Background Check Completed Date Short Textbox
Background Check Result URL

 

 

Create Custom Job Fields

This portion of the configuration allows the end user to select the applicable package and location necessary to complete the Background Check. It is necessary to select Package and Location for each job in Greenhouse Recruiting.

Click on the Configure icon configure.png in the upper right-hand corner, then click Custom Options on the left-hand panel. 

Under the Company Custom Fields section, click Jobs

On the Manage Job Fields page, click + Add Field.

Add "Background Check Package" for the Field name, and select Single Select as the Type. In the Options section, enter each of your available packages on a separate line.

Check the box for Required, then click Save

Click + Add Field again. In this custom job field, add "Background Check Location" as the Field name, and select "Single Select" as the Type. In the Options section, enter each of your available locations on a separate line. Check the box for Required, then click Save

 

View the Integration Order in PeopleG2

Once a background check is initiated through Greenhouse Recruiting, a request to complete the background check will be sent to the candidate’s email.

The candidate will complete the required fields and sign off on the consent. PeopleG2 receives the request, then will send an update to Greenhouse Recruiting that the order is in progress. Once the report is completed in the deverus platform, a status update is sent to Greenhouse Recruiting with the results report.
