With a seamless integration between Greenhouse Recruiting and Atlantic Employee Screening, it has never been quicker or easier to remain updated on applicants from pre-hire to post-hire. Greenhouse Recruiting’s integration with Atlantic Employee Screenings allows your organization to easily screen applicants and receive accurate, compliant reports with little to no data entry. In this article, we will cover how to:
Configure User Setup Permissions in Greenhouse Recruiting
In order to enable the Greenhouse/Atlantic integration, you will need the developer permission Can manage ALL organization’s API Credentials and Can manage ALL organization’s API Credentials.
Contact a Greenhouse user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the API credential management permission to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon > Users > Your Name.
The user with Site Admin level permissions should navigate to the Permissions panel on your user page and expand the Developer Permissions dropdown menu.
Select Can manage and configure web hooks and Can manage ALL organization’s API Credentials so that a check is in the checkboxes. When finished, click Save.
Repeat as necessary for any other user that should have access to set up the integration.
Retrieve Atlantic Employee Screening’s Endpoint URL and Secret Key
Before enabling the Greenhouse/Atlantic integration, Greenhouse will need two pieces of information:
- Atlantic’s Endpoint URL
- Atlantic’s Secret Key
To retrieve this information please reach out to your Atlantic Employee Screening's Customer Success team. When you receive both the Endpoint URL and the Secret key, it will be entered when creating a web hook.
Create a Web Hook for the Greenhouse/Atlantic Employee Screening Integration
With Atlantic’s endpoint URL and Secret Key copied, and your Greenhouse user permissions enabled, you are ready to enable the Greenhouse/Atlantic integration.
To enable the integration, click the Configure icon in the upper right-hand corner and navigate to Dev Center on the left-hand panel.
From the Dev Center page, click Web Hooks. Click Web Hooks from the subsequent page.
You will be directed to a new page where you Create a New Web Hook. From this page provide the following details:
- Name: we suggest Atlantic Integration
- When: Be sure to select the right web hook so that the web hook fires at the appropriate event in Greenhouse – Candidate has changed stage
- Endpoint URL: The Endpoint URL received from the Atlantic Customer Success team
- Secret Key: The Secret Key received from the Atlantic Customer Success team
When finished, click Create Web hook.
Create a Harvest API Key for the Greenhouse/Atlantic Employee Screening Integration
To create a Harvest API key for the integration, click on the Configure icon in the upper right-hand corner. Navigate to Dev Center on the left-hand panel.
From the Dev Center page, click API Credential Management.
From the API Credential Management page, click Create New API Key to generate the API key for Atlantic Employee Screening.
From the Create new credential dialog box, give your API key a name and select Harvest from the Type dropdown menu. When finished, click Create.
On the Manage API Key Permissions page, give the following permissions to the API key. When finished, click Update.
- Activity Feed
- Candidates (GET: Retrieve Candidates, PATCH: Edit Candidate, and POST: Add Note)
- Custom Field Options
- Custom Fields
- Job Stages
- User Roles
- Users (GET: Retrieve User and GET: List Users)
Your Harvest API key for the Greenhouse/Atlantic integration is created and configured. Provide your Harvest API key to your Atlantic onboarding team so they can set up the integration.
Add Atlantic Employee Screening Stage to Job’s Interview Plan
Once the Greenhouse/Atlantic Employee Screening integration is enabled for your organization, you will need to create an interview stage for Atlantic Employee Screening.
To do this for an existing job, navigate to a job (All Jobs > Job Name) and click Job Setup from the Job navigation bar.
From the Job Setup page, navigate to the Interview Plan on the left-hand panel. Scroll down the page and click + Add a Stage.
From the Add Stage dialog box, create the Atlantic Employee Screening stage. When finished, click Add to apply the stage to the job's interview plan.
Configure Atlantic Employee Screening Stage
Once the stage has been added to the job's interview plan, click Edit Take Home Test. Use the provided drop-down menu to choose assessments that you have previously set up in Atlantic Employee Screening.
Select the appropriate assessment and assign at least one Greenhouse user to grade/review submitted assessments. When finished, click Save.
Retrieve the Results
Upon implementation of the integration, moving the applicant’s stage into Background Check will prompt an e-mail to be sent to the applicant in order to have them fill out personal information, via the QuickApp. This will also be where they give authorization for the background check. Alternatively, you can enter the information yourself if you prefer paper authorization forms. You will receive an e-mail once the order has been sent to our system, as well as when it is completed.
The link will bring you to Atlantic Employee Screening Gateway 2.0, where you will be prompted to log-in with the credentials given from our Atlantic team. Once you log in, you will arrive to the completed report with compliant, accurate results.
