Greenhouse Onboarding provides default access for all employees in your organization to view and edit certain fields. This role is automatically assigned to any user who isn't a Manager, Coordinator, or Owner or hasn't been given custom access.
Note: This tier acts as the default field permissions for Owner, Coordinator, and custom roles until your organization configures specific access settings for those roles.
Update employee access to fields
From your Greenhouse Onboarding homepage, navigate to Settings.
On the Settings page, navigate to Data Flow > Permissions.
Scroll to Default Access.
Next to Employee Access, click Edit.
Select or deselect the checkboxes to update whether or not employees can see the data. See the sections below for more detailed information on the permission types.
Note:
Fields marked with a red asterisk must be completed during an employee's onboarding.
Grey checkmarks and grey boxes indicate field permissions that can't be changed.
Can edit for oneself permissions
The Can Edit for Oneself permission allows employees to view and edit a field in their own employee profile. If this checkbox is not selected, any updates to this field must be completed by an admin.
Viewable to company permissions
The Viewable to Company checkbox makes an employee field viewable to other users in your organization. Select this checkbox for each field that you want to display to everyone on an employee's profile.
Use different combinations of these checkboxes to configure the visibility and editability of your Greenhouse Onboarding data across your organization.
Example:
If you want a field to be both viewable to other employees and freely updated by the user, select both checkboxes.
In cases where you want a field to be visible but not editable, select the Viewable to Company checkbox but leave the Can Edit for Onself box unchecked.
In other cases, you may want an employee to be able to update a field in their profile but not display it to other users who view this employee's profile. In this situation, select Can Edit for Onself but leave Viewable to Company unchecked.
Leave both boxes unchecked if you don't want employees to edit a field in their profile and don't want this field's data viewable by other employees in your organization.
