The candidate profile is one of the most important pages in Greenhouse. It’s where recruiters, hiring managers, and the rest of the hiring team come together to participate in structured hiring. This article will help you understand the profile’s layout, learn about its features, and find resources to get your team working smoothly.

Overview and updates

The candidate profile is designed to help your team work together more seamlessly. This version brings important details to the surface, organizes information more clearly, and introduces features that make it easier to keep hiring moving forward.

We’ve continued to refine the profile since launch, guided by customer feedback. Updates include AI-powered scorecard summaries, automated scheduling suggestions, streamlined workflows, clearer visibility into key details, and changes that better match how hiring teams work together.

Ongoing improvements

Better visibility
We’ve adjusted the layout so information is easier to scan at a glance. The header now includes key details like contact info, time zone, and local time, while the All Stages view in the main panel has been expanded to show interview and scorecard details. You can also expand interview stages to see the full process without losing context.

Easier navigation
You can move between candidates and complete actions more easily. Use the arrows at the top of the screen to jump between profiles, access common actions without opening hidden menus, and view a candidate’s activity across jobs from the All Jobs tab.

Improved usability
The profile is optimized for smaller screens, so you can review candidates on any device.

How the profile is organized

The candidate profile is organized into three main sections—the header, main panel, and right panel. This video walks through each one, showing you where to find key details like scorecards, offers, and tasks, and how to stay organized as you collaborate with your team.

 

Header

The header is designed to give you the essentials up front, so you can understand who the candidate is and take action without leaving the page. It surfaces the most important details—name, pronouns, contact info, time zone, and tags—at the top of the profile where they’re always visible.

From here, you can quickly take the actions that move hiring forward: email a candidate, add or transfer them to another job, update their status, or return to the job they applied for.

For faster access, use keyboard shortcuts:

  • R → open the candidate’s resume

  • X → reject the candidate

  • M → move the candidate to another stage

Main panel

The main panel is where you manage a candidate’s progress through the hiring process. It’s designed to bring together the tools your team uses most, so you can review their progress, schedule interviews, and make decisions without leaving the page.

Stages

Open an interview stage to review planned interviews, schedule new ones, send confirmations, and assign scorecards. Candidate availability can be requested or entered manually.

Scorecards

Track which scorecards are pending or submitted, and open any scorecard to review detailed feedback.

Offer details

Manage everything related to offers in one spot, including approvals, documents, and the offer packet.

Activity feed
View a complete record of updates to the candidate, from stage changes to notes. Filters and search make it easy to find specific updates when needed.

Right panel

The right panel organizes supporting details into tabs, so you can quickly access application data, team notes, and tasks without cluttering the main panel. Click any tab to open or collapse the panel, keeping it out of the way when you need more space to focus on interviews.

Candidate details

This tab shows the candidate’s personal and professional information, including their name, contact details, current role, and time zone. Answers to custom application questions will be reflected here as well.

Application details
See when a candidate applied, who referred them, and which recruiter or coordinator is responsible. You can also manage application documents and send e-Signature agreements directly from this tab.

All jobs
See a candidate’s full history across jobs, including active and past applications with their outcomes. This gives you a clear view of their journey with your organization.

Notes
Leave updates for your team, filter or pin key messages, and @mention teammates to keep everyone aligned. Notes live in one place so context isn’t lost in emails or chats.

Tasks and reminders
Track what needs attention, from requesting availability to scheduling interviews.

Some candidate information may be sensitive. Toggle on Private mode at the top of the right panel to hide it across all tabs and the main panel.

Quick navigation and insights

Streamlined scheduling

The candidate profile includes tools to simplify scheduling so you can spend less time coordinating and more time focusing on candidates.

  • Scheduling suggestions: Automatically generate interview time slots that respect interviewer preferences, candidate availability, and your team's working hours.
  • Scheduled take home tests: Assign and send exercises at a set time, then track submissions and evaluations directly in the candidate profile.

Collaboration and clarity

Keep everyone on the same page with features that surface the right context and make collaboration more inclusive.

  • e-Signature agreements: Send and collect signature requests with Adobe Acrobat Sign directly from the candidate profile at any stage of the hiring process.
  • Pinned notes and filters: Apply filters to quickly narrow down notes by type or author, and pin critical items so they remain at the top of the Notes tab for quick reference.

  • Preferred name: Display the name a candidate prefers to go by, creating a more personal experience from the start.

Has the new candidate profile caused any permission changes?

No. Users retain the same job-level permissions they had before.

How are Tasks in the new candidate profile different from My Tasks on the My Dashboard page?

The My Tasks section on the dashboard shows your tasks across all jobs. In the candidate profile, Tasks are tied to a specific candidate’s job and can be seen by anyone assigned to that job.
