Add a LinkedIn prospect to the Greenhouse Recruiting Chrome extension

Permissions: Job Admin and above with CRM access, a Sourcing Automation seat, and a LinkedIn account

Product tier: Available for all subscription tiers with the Sourcing Automation add-on

If your organization uses Greenhouse Sourcing Automation, you can add prospects in LinkedIn to your campaign pools with the Greenhouse Recruiting Chrome extension.

Note: You can install the Greenhouse Recruiting extension from the Chrome Web Store.

Add a prospect from LinkedIn

You can add a prospect from LinkedIn to the Greenhouse Recruiting Chrome extension in two ways:

  • Highlight the prospect's name in their LinkedIn profile and manually prefill the extension fields
  • Save the prospect's profile as a PDF and upload it to the extension

Add a LinkedIn prospect manually

Open a prospect's LinkedIn profile in Google Chrome.

Click the Greenhouse Recruiting Chrome extension from the top-right extensions menu. The extension will open automatically in a separate window.

Note: If you haven't already, log in to your Greenhouse Recruiting account. Click Sign in to Greenhouse Recruiting and enter your credentials to log in.

Next, highlight the prospect's name in their LinkedIn profile. 

The Greenhouse Recruiting extension will check for duplicate prospects in your Sourcing Automation campaign pools. If none are found, click Prefill to add your prospect's details to the extension.

Upload a prospect's LinkedIn profile

Open a prospect's LinkedIn profile in Google Chrome.

Click the Greenhouse Recruiting Chrome extension from the top-right extensions menu. The extension will open automatically in a separate window.

Click More on the prospect's LinkedIn profile and select Save to PDF from the dropdown.

Note: Due to LinkedIn's download limits, you can only save 200 LinkedIn profiles as a PDF per month. Once you reach this limit, the Save to PDF button won't be available until the next month. As an alternative, you can perform an email lookup in the Greenhouse Chrome extension or use the LinkedIn RSC integration to add prospects to Greenhouse Recruiting.

The extension automatically uploads and parses information from the PDF download and attaches it as a resume to the extension.

You can also drag and drop the saved PDF into the extension or click Upload resume to manually import the PDF from your files.

Check for duplicate prospects

The Greenhouse Recruiting Chrome extension automatically checks your campaign pools for potential duplicates when adding prospects from LinkedIn.

If a potential duplicate is found, you'll see the duplicate's current details from Sourcing Automation.

Click View duplicate to open this duplicate in Greenhouse Sourcing Automation and learn more.

If you've determined this prospect isn't a duplicate, click Prefill to add their LinkedIn profile details to the extension's fields.

Perform an email lookup

If you'd like, you can manually perform an email lookup for a LinkedIn prospect on the first step of the Greenhouse Recruiting Chrome extension.

When adding a LinkedIn prospect, paste the prospect's LinkedIn URL into the Chrome extension.

Click Lookup email to perform an email lookup using your prospect's LinkedIn profile.

If an email is found during lookup, the Email field will automatically populate with the prospect's email. If more than one email is found during lookup, click the link under the Email field to select which email you'd like to save for this prospect.

If no email is found during lookup, the Email field will remain empty. No lookup credits will be charged.

Perform a phone number lookup

Once you've looked up a prospect's email, you can also perform a phone lookup to locate your prospect's phone number.

Continue to Step Two of the Chrome extension.

Click Lookup next to the phone icon to perform a lookup for your prospect's phone number.

Note: Phone lookups are turned off by default. A user with Site Admin access will need to give your organization access to phone lookups in Permission Policies.

Upload your prospect to a pool

Fill out any other details you want to include for your LinkedIn prospect in Sourcing Automation, then click Continue.

On the extension's second step, use the Pool field to select a campaign pool or prospect pool for this prospect.

In the Source field, select LinkedIn (Prospecting). If you upload a PDF of the prospect's LinkedIn profile, this field will be filled out automatically.

Under Job details, select the recruiter who located this prospect and the job that you'd like to connect with this prospect.

When you're ready, click Upload prospect to send this prospect to your pool in Greenhouse Sourcing Automation.
