The Greenhouse Recruiting Chrome extension is a browser plugin that allows your organization to add prospects to your Greenhouse CRM from a website, resume, or manually through the plugin without leaving your current workflow.
For organizations with a Sourcing Automation seat, the extension also has the ability to discover a prospect's email address when parsing their information from select websites. With lookup credits, recruiters can accelerate their outreach initiative and improve response rates through enriched and accurate contact data.
Step 1: Install and open the extension
If you haven't already, install the Greenhouse Recruiting extension from the Chrome Web Store. Make sure to pin the extension to your browser for easy access.
Once it's installed, open the extension when you're ready to add prospects to Greenhouse Recruiting. Click the Greenhouse Recruiting extension icon from your extensions menu.
Step 2: Locate duplicate prospects
When parsing a prospect's information from AngelList, Github, and Indeed, highlight the prospect's name or email address to check for duplicates within Greenhouse Recruiting.
If a duplicate isn't found, click Prefill to add their information to the extension.
Note: If the highlight feature doesn't work, confirm that the extension has access to website data.
Right-click your pinned Greenhouse Recruiting extension, then select Manage Extension from the dropdown. Scroll to Site access and toggle to automatically allow access.
Now that you've checked for duplicates, continue adding your prospect to the extension as detailed in Step 3.
Step 3: Add a prospect to the Greenhouse Recruiting Chrome extension
Note: Sourcing Automation users with LinkedIn Recruiter can upload multiple prospects in bulk through the extension. Learn more.
You can add prospects to the Greenhouse Recruiting Chrome extension using the following methods:
- Add a prospect from AngelList
- Add a prospect from GitHub
- Add a prospect from Indeed
- Add a prospect from LinkedIn
- Add a prospect using their resume
- Add a prospect manually
Note: An email address is required if GDPR rules are enabled for your organization.
Add a prospect from AngelList
Navigate to the Source tab from your AngelList homepage.
Select a search option from the Starred tab or the All Searches tab. You can also select New Search to create a query.
Click the Greenhouse button on your prospect's AngelList profile, then click Continue in the Greenhouse Recruiting extension.
Note: The Greenhouse button won't be available if a prospect has no name on their AngelList profile. For example, some prospects elect to display their job title instead of their name.
The extension parses an available first name, last name, and company from your prospect's AngelList profile.
Email lookups for AngelList prospects
Greenhouse will perform an email lookup when you add a profile without an email to the extension. The extension will prioritize lookups for personal or work emails based on the priority settings you've configured in Sourcing Automation account settings.
If the extension finds multiple emails that match your lookup priority settings, you can select which email address will be added to Greenhouse Recruiting.
If the extension doesn't find an email address during lookup, the email field will remain blank.
Now that you've added an AngelList prospect, finish uploading their information to Greenhouse Recruiting.
Add a prospect from GitHub
Navigate to GitHub and open your prospect's profile.
Click Greenhouse Recruiting from your prospect's GitHub profile, then click Continue within the extension.
The extension will parse an available first name, last name, email address, and company from your prospect's GitHub profile.
Email lookups for GitHub prospects
The Greenhouse extension will perform an email lookup for your prospect's personal email address if one isn't available on their GitHub profile. Review your Sourcing Automation account settings to confirm you've selected personal email addresses as your lookup priority.
If the extension doesn't find an email, the email field will remain blank.
Now that you've added a GitHub prospect, finish uploading their information to Greenhouse Recruiting.
Add a prospect from Indeed
Navigate to Indeed for Employers.
Use the search panel to find prospects. You can apply filters to refine your search as needed.
Select a prospect from the search results to preview their profile.
Once you've selected a prospect, click their name to open their profile in a new tab.
Click the Greenhouse icon to add their information to the Greenhouse Recruiting Chrome extension.
The extension will parse an available first name, last name, and company from Indeed.
Email lookups for Indeed prospects
Greenhouse will perform an email lookup when you add a profile without an email to the extension. The extension will prioritize lookups for personal or work emails based on the priority settings you've configured in Sourcing Automation account settings.
If the extension finds multiple emails that match your lookup priority settings, you can select which email address will be added to Greenhouse Recruiting.
If the extension doesn't find an email address during lookup, the email field will remain blank.
Now that you've added an Indeed prospect, finish uploading their information to Greenhouse Recruiting.
Add a prospect from LinkedIn
You can add a prospect from LinkedIn to the Greenhouse Recruiting Chrome extension by saving the prospect's profile as a PDF and uploading it to the extension.
The Greenhouse Recruiting Chrome extension will check for duplicate prospects in your Sourcing Automation campaigns and provide details on any potential duplicates. In addition, you can perform a manual email lookup to locate your prospect's email.

Once you've added a prospect from LinkedIn, finish uploading their information to Greenhouse Recruiting.
Add a prospect with their resume
You can add a prospect to the Greenhouse Recruiting Chrome extension by uploading their resume.
Drag and drop a resume into the extension or click Upload resume to import the document from your files. Greenhouse will parse the resume to fill out your prospect's details.
Now you've added this prospect, finish uploading their information to Greenhouse Recruiting.
Add a prospect manually
Manually enter the prospect's available information.
Once added, click Continue and finish uploading their information to Greenhouse Recruiting.
Step 4: Upload your prospect to Greenhouse Recruiting
Check for duplicate profiles
Once you've added a prospect to the extension and clicked Continue, the extension allows you to do a final check for duplicate profiles.
A warning appears if the prospect is a potential duplicate. Click View duplicate to open the existing prospect's profile in Greenhouse Recruiting.
Perform a phone number lookup
Click Lookup next to the phone icon to perform a lookup for your prospect's phone number.
Note: Phone lookups are turned off by default. A user with Site Admin access will need to give your organization access to phone lookups in Configure > Sourcing Automation.
Update your prospect's details
Click the pencil icon to make any additional edits to your prospect's personal information. Click Done at the top of the page once your edits are complete.
Set your prospect's pool and source
Select a Pool and Source for your prospect.
You can select from either prospect pools or campaign pools. If you select a campaign pool, any prefilled data you configured in the campaign pool settings tab auto-populates in the extension.
Set your prospect's recruiter and job
Select the applicable Recruiter and Job for this prospect.
Provide additional details (optional)
Click Edit additional details to add any of the following information for your prospect:
- Coordinator
- Department
- Office
- Prospect owner
- Tags
- Website
- LinkedIn URL
- Social media
- Address
- Notes
Upload your prospect
Once you've filled out the above details, click Upload prospect when you're ready to send this prospect to Greenhouse Recruiting.
Step 5: Review your uploaded prospect
View your prospect's profile in Greenhouse Recruiting
Once successfully uploaded, click View profile to see your prospect's profile in Greenhouse Recruiting. Their profile will indicate that the prospect was created with the extension.
Click Upload next prospect to return to the extension and add new prospects.
Personalize your prospect's first campaign email
If you added this prospect to a campaign pool, you can personalize your prospect's first campaign email within the extension.
Add your personalized message to the email body field and click Send personalized message.
Manually complete your first task
If the first step in your campaign pool is a manual task, you can mark it as complete within the extension.
Complete your manual task, then click Mark as complete. The extension will automatically update this step in your campaign pool and move your prospect to the second step.
Complete your first InMail task
If the first step in your campaign pool is an InMail task, you can manually complete it within the Chrome extension.
Note: Connect your LinkedIn RSC account to Sourcing Automation to use this feature. You'll be reminded to connect your account within the extension if you haven't already.
Copy your InMail message from the extension, then manually send this message to your new prospect on LinkedIn.
Once you've finished messaging your prospect on LinkedIn, click Mark as complete in the extension.
The extension will automatically update this step in your campaign pool and move your prospect to the second step.
