Job Admin levels are defined sets of permissions granted to Job Admin users on a per-job basis. Permission stripes are the individual permissions that can be assigned to or removed from each Job Admin level.
In this article, we'll discuss the Can view internal candidates / prospects permission stripe.
Note: Organizations with an Essential subscription cannot edit existing Job Admin levels or create custom Job Admin levels. Job Admins in these organizations can see all internal candidates and prospects.
Can view internal candidates / prospects
The Can view internal candidates / prospects permission stripe allows Job Admins to see candidates and prospects from within your organization who have applied for internal positions. By using this permission stripe to allow only a specific and narrowed group within the hiring team to see internal candidates, your organization can protect employee privacy and ensure candidate information is available only to those who need it.
To add or remove the Can view internal candidates / prospects permission stripe, edit your Job Admin level and check or uncheck the box next to the permission stripe. For suggestions on how to use this permission stripe, review our Best practices below.
Note: Site Admins have access to internal candidates / prospects, but Job Admins' access is configurable:
- Existing Job Admins with this permission stripe can view internal candidates / prospects. You can remove the permission or create a new Job Admin level.
- New Job Admins do not have this permission by default.
Those who don't have this permission stripe aren't able to see internal candidates anywhere in Greenhouse Recruiting, including in the overall candidates list, in any search results, in any reports, or in the visual candidate pipeline.
Users without this permission stripe are also unable to see internal candidates reflected in aggregate data. For example, if a user without this permission is viewing the Applications over time report and 20 candidates have applied, including two internal candidates, the user sees data reflecting only 18 candidates.
Best practices
To ensure only the appropriate users are able to see internal candidates, consider editing your existing Job Admin level to remove the Can view internal candidates / prospects permission stripe.
Then, create a new Job Admin level with the permission stripe turned on and assign it to those who should have access to internal candidates. Those who might need access may include members of the hiring team such as coordinators, recruiters, and hiring managers.
