Greenhouse Recruiting’s integration with HiPeople allows you to integrate HiPeople into multiple stages of your hiring process, easily invite candidates to HiPeople directly from Greenhouse, and receive results from HiPeople back to the candidate’s Greenhouse profile.
Configure setup permissions in Greenhouse Recruiting
To configure the Greenhouse Recruiting / HiPeople integration, you’ll need the developer's permission 'Can manage ALL organization’s API Credentials.'
To assign this permission, find a Greenhouse Recruiting user in your organization with Site Admin permission and the user-specific permission 'Can edit another user's advanced permissions' to update your account.
The Site Admin can update your permissions by navigating to your user page. They should click the Configure icon on their navigation bar, then select Users on the left > Your Name.
The Site Admin should scroll to User-Specific Permissions on your user page and expand the Developer Permissions dropdown.
Have them select 'Can manage ALL organization’s API credentials' in the Developer Permissions section and click Save.
Repeat as necessary for any other user that needs to set up the integration.
Create a Harvest API key for the Greenhouse Recruiting / HiPeople integration
Click on the Configure icon and select Dev Center on the left.
Select API Credential Management in the Dev Center.
From the API Credential Management page, click Create New API Key to generate the API key for HiPeople.
In the Create New Credential box, make the following selections:
- API Type: Harvest
- Partner: HiPeople (optional)
- Description: HIPeople Harvest API Key
Click Manage Permissions.
Click Copy to save your API key to your clipboard. Store the API key in a secure location to provide to HIPeople in the next step.
Click I have stored the API Key once you have copied and saved the key.
On the subsequent page, ensure the following permissions are enabled for the HiPeople integration:
- Activity Feed
- Job Stages
- Rejection Reasons
When you’re finished, click Save.
Your Harvest API key for the Greenhouse Recruiting / HiPeople integration is created and configured.
Next, visit the HiPeople My Organization settings page and click the Greenhouse integration:
Paste the API key that you created earlier and click Set.
In the box that appears next, copy the Endpoint URL and Secret key.
Create a new web hook in Greenhouse by navigating to Configure > Dev Center > Web Hooks, and enter the following information:
- Name: HiPeople Candidate Stage Change
- When: Candidate has changed stage
- Endpoint URL: Enter the endpoint URL from the HiPeople dashboard.
- Secret key: Enter the secret key from the HiPeople dashboard.
Click Create Web hook when finished.
Repeat these steps for two more webhooks for candidate hired and candidate rejected, as detailed below:
Use the HiPeople integration with Greenhouse Recruiting
The next step in using the HiPeople integration is to connect the HiPeople role to the corresponding job posting in Greenhouse Recruiting.
Find the role you wish to integrate and go to the [ . . . ] menu, and click Manage ATS automation.
Select the role from Greenhouse Recruiting that you would like to integrate with this HiPeople role.
On the next page, you must connect the HiPeople stages to the Greenhouse Recruiting stages as defined in your job setup. For example, you might like to connect the HiPeople Assessment to Inbox, and the HiPeople reference checks to Reference Check as shown below:
Review your selected ATS pipeline stage & role, confirm that this is correct by clicking the checkbox, and then hit Confirm.
All done! Now you are ready to start using HiPeople for all the candidates within the Greenhouse role you linked above! Just move the candidate in Greenhouse to the respective stage, and HiPeople automatically takes care of the rest.
Start a reference check for a candidate from Greenhouse Recruiting
To start the reference check for the candidate, navigate to the candidate profile in Greenhouse Recruiting, and move the candidate to the Reference Check stage.
That's it! The request for the candidate to submit their references is on its way!
You can see the progress of the reference check for this candidate by going to the respective role in HiPeople – the candidate profile is synced and a reference check invite has been sent automatically.
Review the results of the reference check
As soon as one of the candidate's referees has provided their feedback, you will receive an email with an invitation from HiPeople to review the reference check results.
In addition, you can access the reference check results through an automated PDF report on a link in the candidate's Activity Feed tab that will appear as soon as the reference check is completed.
