This guide outlines how to configure the scope of the feature by office or department, customize candidate disclaimers and AI opt-out, and manage GDPR and data retention compliance. To ensure a successful rollout, we recommend collaborating with TA, Legal, and Security to align your AI strategy with organizational policies and candidate experience.
Turn on AI features for Talent Matching
While a version of Talent Matching is enabled by default, it does not calculate match scores until a Site Admin turns on the AI functionality. To enable match scores, a Site Admin must go to Configure > AI Tools and turn on the two toggles under Resume parsing and Talent Matching.
Once these toggles are enabled, match scores will be calculated for any new applications in departments and offices defined in the later steps. To configure candidate AI opt-out and the disclaimer text candidates see on job posts, use the Talent Matching settings described later in this article.
Turn off Talent Matching for a specific job
You can turn off the AI portion of Talent Matching on a specific job by using the toggle on the Talent Matching widget.
When AI is deactivated for a role, some functionality will be unavailable.
Choose office and department locations for Talent Matching
Talent Matching is only used on jobs based on your selected offices and departments. Match scores will only be calculated when a job is in the selected office and department. Talent Matching uses the job’s office and department in Greenhouse Recruiting, not any custom location fields you may have configured on your job posts or applications.
To set up Talent Matching, go to Configure > Real Talent and select the Talent Matching tab. Click Edit and follow the instructions on the screen to select the offices and departments where Talent Matching should occur.
Tip: Begin with a small group of users to test your settings and workflows before expanding access across the organization.
Configure candidate disclaimers and AI opt-out
Some jurisdictions may require that you disclose the use of AI tools during the application process.
Disclosures can be defined on the Real Talent settings page. (Configure > Real Talent). In the AI transparency section, click Edit and follow the instructions to update the language as needed, then click Save. If your organization enables candidate AI opt-out, the disclaimer includes a link candidates can use to request manual (non‑AI) review and manage their automated processing preferences for that job.
If you don’t see the AI transparency section on the Real Talent page, confirm that your organization has the Real Talent add‑on and that you’re signed in as a Site Admin.
Tip: While placeholder language is available to you, work with your legal team to understand what laws and regulations may apply to your organization.
Enable candidate AI opt‑out (optional)
Some jurisdictions may require that candidates be able to request an alternative to AI-assisted review.
To allow candidates to opt out of AI processing for a job, open the Talent Matching settings under Configure > Real Talent > Talent Matching. In the AI transparency section, click Edit and select Include disclaimer at the bottom of job posts. Then select Enable AI opt-out for candidates.
When this option is turned on:
- Candidates see a link in the AI disclaimer on the job post where they can manage their automated processing preferences.
- Candidates who opt out for a given application are labeled “Needs manual review” and are not evaluated by Talent Matching.
Tip: Work with your Legal and TA teams to decide when this setting should be enabled and how your team will handle manual review of opted-out candidates.
Manage permissions
All Site Admins can use Talent Matching when it is turned on.
If you’d like to assign Talent Matching access to Job Admins, you can do so by updating existing Job Admin levels or creating new ones.
For each Job Admin level, choose any of the following permissions to give them access to match scores in Talent Matching:
- Can view Talent Matching AI score
- Can create Talent Matching calibration
- Can edit and delete Talent Matching calibration
GDPR compliance
If your organization is subject to GDPR, you can manage compliance via your data retention and candidate packet settings.
To manage the deletion of Match Score data, you can add or update a data retention rule and select Match Score and Reasoning under the Real Talent section. Click Save to update the rule.
When candidate AI opt-out is enabled and a candidate opts out while their application is still active, Greenhouse deletes any existing AI-generated match score and reasoning for that application and flags it for manual review. Confirm that your data retention rules and internal policies reflect this behavior and any legal requirements in your jurisdictions.
To support candidate data access requests, Match Score and Reasoning can be added to candidate packets.
