Sending e-Signature agreements with stage transition rules is currently in beta and may not be available to your organization.
Stage transition rules allow you to trigger actions automatically when a candidate is moved to a specific interview stage.
If your team uses Adobe Acrobat Sign to collect signatures during the hiring process, you can automate sending those agreements using stage transition rules. This helps reduce manual work and ensures candidates receive the right documents at the right time.
Before you get started, make sure Adobe Acrobat Sign is integrated with your Greenhouse account and you've created the e-Signature template you want to send. Then, follow our instructions for creating a stage transition rule on any job.
Sending an agreement
Just like other stage transition rules, you can preselect specific fields to preserve your settings. Once configured, the rule will automatically trigger every time a candidate enters the designated stage.
When the rule triggers and the agreement is sent to the candidate, you can choose to add a counter signer who will also be required to sign.
Name your agreement and select the agreement you want to send for signature.
Once configured, candidates who enter that stage will automatically receive the agreement to sign.
You'll see a confirmation that the agreement was sent in the right panel of the candidate profile, under Tasks and reminders. The agreement will remain in the Pending tab until it’s signed by all parties.
You can track the progress of the agreement in the Application details tab.
If the agreement used in the stage transition rule has been deleted, the task will move to the Requires attention tab in the right panel of the candidate profile. You’ll need to send the agreement to the candidate manually.
Once the candidate and all countersigners have signed the agreement, the task will move to the Completed tab.
