HRIS Link can import and update jobs at scale in Greenhouse Recruiting, using the most current data in your HRIS. This powerful feature allows you to create parity between jobs in the hiring software and your HRIS, so your teams are always on track. HRIS Link supports custom fields, allowing you to maintain job information unique to your organization. HRIS Link also supports role-based approvals.
How it works
When HRIS Link job import is enabled, jobs created or updated in Workday®️ will automatically sync to Greenhouse Recruiting. HRIS Link determines whether each job on your Workday®️ job report already exists in Greenhouse Recruiting, using requisition ID as the unique identifier.
- For new jobs, HRIS Link creates new jobs in Greenhouse Recruiting with all the custom fields from your report. HRIS Link will assign hiring managers, recruiters, sourcers, and coordinators to the hiring team.
- For existing jobs, HRIS Link updates the jobs in Greenhouse Recruiting based on values that have changed since the previous sync.
Additionally, HRIS Link compares the status of each job, like open or closed, across your HRIS and Greenhouse Recruiting, and it notifies the recruiter when a status is out of parity.
You'll receive success and error emails to help monitor the status of your integration.
First, create a jobs report in Workday®️ depending on your organization's configuration that matches the required specifications in Set up HRIS Link with job requisitions enabled or Set up HRIS Link without job requisitions enabled.
Next, publish the jobs report as a web service.
In Workday®️, create an integration system user (ISU) and grant permission for the ISU to view the jobs report and all its fields.
Enter the report URL and ISU credentials in HRIS Link, then let your Greenhouse technical consultant know HRIS Link is ready to be enabled. Your Greenhouse technical consultant will configure the integration and kick off the initial HRIS Link run.
