In Greenhouse Recruiting, assigned Hiring Team roles determine which tasks users need to complete for candidates moving through the interview pipeline. Recruiter and coordinator assignments are now application-specific, meaning each application for a candidate can have different recruiters and coordinators assigned.
This model provides greater flexibility in managing hiring processes, ensuring that notifications and responsibilities align with each application's assigned team.
View a candidate's assigned recruiter and coordinator
To view a candidate’s assigned recruiter and coordinator, navigate to their profile and select the Application tab.
The assigned recruiter and coordinator for each application will be listed in the Source & responsibility section.
The recruiter/coordinator assignment model
Recruiters and coordinators are assigned at the application level, meaning:
- Each job application can have a different recruiter and coordinator.
- Assignments default to the responsible recruiter and coordinator on the job’s hiring team when the application is created but can be modified per application.
- Notifications and task assignments are tied to the recruiter and coordinator listed on each specific application.
Example:
Candidate Javier applies for an Engineering Manager role and is assigned Alaina as the recruiter and Francine as the coordinator. Later, Javier applies for a Senior Engineer role, where the hiring team lists Jonathan as the recruiter and Bethany as the coordinator.
Javier’s Engineering Manager application is assigned to Alaina and Francine, while his Senior Engineer application is assigned to Jonathan and Bethany, ensuring role alignment per application.
Update an assigned recruiter or coordinator
Recruiter and coordinator assignments can be updated per application using one of the following methods:
Manually update roles on an application
Navigate to the candidate’s profile. Select the Application tab. Select the pencil icon in the Source & responsibility section to update the recruiter or coordinator assignment.
Bulk update roles for multiple applications
Use bulk actions to update recruiter and coordinator assignments for multiple applications at once.
Modify hiring team assignments at the job level
When adding a recruiter or coordinator to the hiring team for a job, go to Job setup, Hiring team, then make your changes.

- For recruiters managing multiple applications: Review role assignments per application to prevent confusion.
- For hiring teams working collaboratively: Clearly define expectations around application-level recruiter assignments.
