Emissary is a text recruiting platform built to make candidate engagement easy. It empowers recruiting teams, HR departments, and staffing firms with efficient tools that work in harmony with any ATS, HRIS, or recruiting site.

Greenhouse Recruiting's integration with Emissary allows you to access your SMS-based Emissary conversations within Greenhouse Recruiting. This is not only for your convenience, but also provides a transcript record for each candidate that can be preserved for posterity.

Note: Each Emissary inbox can be linked to one Greenhouse Recruiting account at a time. This setup process needs to be performed once for each inbox.

Set up the Greenhouse Recruiting / Emissary integration

Create a Harvest API key

To configure the Greenhouse Recruiting / Emissary integration, you'll need to create a Harvest API key.

Follow the steps in this article to create the key, and verify that the credentials and permissions below are selected when configuring the Emissary integration.

Credentials

In the Create New Credential box, make the following selections:

  • API type: Harvest
  • Partner: Emissary
  • Description: Emissary Harvest API key

Permissions

Verify that the following permissions are selected for the Emissary integration:

Candidates

  • All permissions

Users

  • All permissions

When finished, click Save.

Copy the Harvest API key to provide to Emissary in the next step.

Add Harvest API key to Emissary and complete setup

Navigate to your Emissary inbox and locate the Tenant dropdown. Click ATS Integrations.

Next to the Greenhouse Recruiting logo, click Integrate Greenhouse.

The next step guides you through a list of instructions for creating a Harvest API key in Greenhouse Recruiting that you completed in the first section of this article.

The final step of the process prompts you to paste the Harvest API key you created in Greenhouse Recruiting.

Provide the API key, then click Finish Integration.

Once complete, the Greenhouse Recruiting / Emissary integration is configured and ready for use. You'll see a display for successful integration connection along with the number of contacts being actively synced between Emissary and Greenhouse Recruiting.

Note: Candidate conversations upload nightly to Greenhouse Recruiting, providing a full day's worth of conversation at a time. Due to this, conversations will not appear immediately in Greenhouse Recruiting.

Previous conversations existing in your Emissary inbox prior to connecting your Greenhouse account should be visible the morning after the first synchronization process. Likewise, any subsequent conversations should appear each following morning.

Use the Emissary integration with Greenhouse Recruiting

Once the integration setup steps are complete, using the Greenhouse Recruiting / Emissary integration is simple. Conversations will take place throughout the day while using the various tools of Emissary's Text Platform. Through the integration, those conversations will be saved each day within Greenhouse Recruiting.

Here is an example of what a text exchange looks like in Emissary's web interface (Emissary's Inbox):

To access the text conversation transcript in Greenhouse Recruiting, navigate to the Candidates tab > select a candidate > Details tab.

Scroll down the page to the All Attachments section to find the transcript. To view or download the attachment, click the transcript

The extension is also available using Emissary's Chrome plugin.

Opt-in consent for Application-to-Person (A2P) messaging

Application-to-Person (A2P) messaging allows organizations to send messages to standard 10-digit long code (10DLC) phone numbers.

New texting regulations for A2P 10DLC require candidates expressly opt-in when applying for jobs in order to receive A2P communications. If a candidate opts-out, these messages will be blocked.

To obtain this opt-in consent in Greenhouse Recruiting, create a custom application question using Yes/No as the configured answer type and then, apply this question to your job posts in bulk. Once created, you can then report on candidate application responses to locate the consent status.
