Greenhouse Recruiting's integration with Searchlight allows companies to initiate Searchlight’s automated reference checks from the Greenhouse application and view completed reference reports in a candidate’s Greenhouse profile. In this article, we will cover how to: 


Enable the Greenhouse/Searchlight Integration

In your Searchlight workspace, you will be able to access your Greenhouse Settings. The Greenhouse Settings section will allow you to "Show Token." This is your Searchlight API Key.

Once you can see your Searchlight API Key, fill out the form at 
www. greenhouse. io/ asksupport  or click here to open a ticket. 

Note: Do not send the API key in this initial email.

The Greenhouse Support Team will respond with a SendSafely link for you to enter your API key. A notification will be sent to the Greenhouse Support Team after you have entered your API key and they will email you to confirm that your API key has been set up in your account and your integration is enabled.

Note: To verify your identity, the Greenhouse Support Team might request you provide a Support Verification Code before adding the API key to your organization's account.


Configure User Setup Permissions in Greenhouse Recruiting

In order to enable the Greenhouse/Searchlight integration, you will need the developer permission Can manage ALL organization’s API Credentials.

Contact a Greenhouse user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the API credential management permission to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon configure.png > Users > Your Name.


The user with Site Admin level permissions should navigate to the Permissions panel on your user page and expand the Developer Permissions dropdown menu. 

Select Can manage ALL organization’s API Credentials so that a check is in the checkbox. When finished, click Save.


Note: In addition to this developer permission, a user will also need to have either Site Admin level permissions, or Job Admin level permissions with the additional user-specific permission Can invite new users to Greenhouse and reactivate disabled users. This level of access is necessary to share a userID with Searchlight.

Repeat as necessary for any other user that should have access to set up the integration.


Create a Harvest API Key for the Greenhouse/Searchlight Integration

To create a Harvest API key for the integration, click the Configure icon Configure.png in the upper right-hand corner, and navigate to Dev Center on the left-hand panel. From the Dev Center page, click API Credential Management.


From the API Credential Management page, click Create New API Key to generate the API key for Searchlight.


In the Create New Credential dialog box, make the following selections:

  • API Type: Harvest
  • Partner: Searchlight
  • Description: Searchlight Harvest API Key

When finished, click Manage Permissions to generate the Harvest API key and automatically assign it the appropriate permissions required by Searchlight.


In the subsequent dialog box, click Copy to save your API key to your clipboard. Store the API key in a secure location to provide to Searchlight in the next step. Click I have stored the API Key once you have copied and saved the key.

Note: You cannot access the full API key again after clicking I have stored the API Key. If you lose your API key and need to access it later, you must create a new API key, provide it to the integration partner, and then revoke access to the original key.


On the subsequent page, confirm the following permissions are assigned to your new API key:

If any of the permissions above are not checked, place a check in the box next to the appropriate permission. Click Save when finished. 

Your Harvest API key for the Greenhouse Recruiting / Searchlight integration is created and configured. Please input the Harvest API in your Searchlight workspace, in the Greenhouse Settings section.


Share User ID with Searchlight

In order for Searchlight to send completed reference data to Greenhouse Recruiting on your behalf, Searchlight will need the user ID of an existing Greenhouse user in your organization, or the user ID for a Greenhouse Recruiting user account that is created specifically for Searchlight.

To locate the user ID for either an existing user or for the new Searchlight-specific user if applicable, click the Configure icon configure.png in the upper right-hand corner and select Users from the left-hand panel. 


From the Users page, click Export to Excel


A spreadsheet will be downloaded to your computer. From the spreadsheet, navigate to the User ID column and copy the user ID value inline with your selected user.


Please input the user ID in your Searchlight workspace, in the Greenhouse Settings section.


Add Searchlight Stage to Job’s Interview Plan

Once the Greenhouse/Searchlight integration is enabled for your organization, you will be able to add the Searchlight assessment as an Interview stage. 

To do this for an existing job, navigate to a job (All Jobs > Job Name) and click Job Setup from the job navigation bar.


From the Job Setup page, navigate to Interview Plan on the left-hand panel. Scroll down the Interview Plan page and click + Add a Stage.


From the Add Stage dialog box, select the Searchlight stage. When finished, click Add to apply the stage to the job's interview plan.



Configure the Searchlight Stage

Once the stage has been added to the job's Interview Plan, click Edit.

Use the provided dropdown menu to choose assessments that you have previously set up in the Searchlight employer dashboard

Select the appropriate assessment and assign at least one Greenhouse user to grade/review submitted assessments. When finished, click Save.

Note: Keep in the mind that all configuration of the assessment itself, as well as the email template, will need to be done on the Searchlight platform.  


Send and Review the Test 

When candidates are moved into the Searchlight interview stage, Greenhouse will display a Send Test link.

Note: When you send a test from Greenhouse, the interview instructions are actually sent by Searchlight.


The status of the assessment will be viewable in Greenhouse: 


Once the candidate has submitted their test, the Interview Kit will contain a link to view the submitted test on Searchlight. 


After you click on the View Report link within the Interview Kit on the candidate’s profile, you will be taken to a page where the URL is available to view the test results on Searchlight.   


Request Additional Support

Additionally, Searchlight can integrate with the Harvest API to attach completed reference requests directly to the candidate’s Greenhouse profile. Please contact if you would like this additional integration.
