One-stage versus two-stage job approvals

Job approvals are beneficial for organizations that want more control and oversight before opening a job for candidate recruiting. Once an approval flow is configured, initially opening a job will set it in Draft mode and requires authorization from selected users before they can be Opened for candidate recruitment.

When you set up a new job approval flow in Greenhouse Recruiting, you can choose between one-stage and two-stage approval processes. See the sections below for more information on the specific workflows. 

One-stage job approvals

With one-stage job approvals, any newly created job will open as a Draft instead of being immediately available for candidate recruitment. Users configured to be job approvers will be notified that the new job is pending approval.

Note: There can be multiple approvers assigned to an approval flow and can be configured sequentially or non-sequentially in. Additionally, approvers can be assigned by office or department. 

Once the final necessary user approves the job, it will be opened for candidate recruitment with no other limitations on what can be done to it. Candidates can be hired immediately and any changes to Department, Openings, Custom Fields, etc. will never trigger re-approval.

Two-stage job approvals

With a two-stage job approval flow enabled, any newly created job will open as a Draft instead of being immediately available for candidate recruitment. Once the final user approves the job, it will be opened for candidate recruitment as Open (Approval Pending). However, unlike a one-stage job approval, a two-stage job approval requires a second approval process to generate an offer for a candidate.

Note: There can be multiple approvers assigned to an approval flow and can be configured sequentially or non-sequentially. Additionally, approvers can be assigned by office or department. 

Any major changes to the job after the second stage approval is received will restart the second stage of approvals from the beginning.

Updates to Department, Openings, Custom Fields, and other fields must be made on the job’s Approvals tab and will send a new approval email to the second-stage approvers. This process ensures that the job's details are always accurate and aligned throughout your organization.

Note: Organizations who are serious about using openings as the system of record should always set up two-stage job approvals for their roles.
