Infomart is a background screening company specializing in pre-employment background checks, enterprise screening, and small business background screening services. Greenhouse Recruiting's integration with Infomart allows you to send background screening updates as notes in a candidate's Activity Feed. In this article, we will cover how to:
Configure User Setup Permissions in Greenhouse Recruiting
In order to enable the Greenhouse Recruiting / Infomart integration, you will need the following developer permissions:
- Can manage ALL organization’s API Credentials
- Can manage and configure web hooks
Contact a Greenhouse Recruiting user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the noted developer permissions to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon > Users > Your Name.
The user with Site Admin level permissions should navigate to the User-Specific Permissions panel on your user page and expand the Developer Permissions dropdown menu.
Select Can manage ALL organization’s API Credentials and Can manage and configure web hooks so that a check is in each checkbox. When finished, click Save.
Repeat as necessary for any other user that should have access to set up the integration.
Create Harvest API Key for the Greenhouse Recruiting / Infomart Integration
To create a Harvest API key for the integration, click the Configure icon in the upper right-hand corner. Navigate to Dev Center on the left-hand panel. From the Dev Center page, click API Credential Management.
From the API Credential Management page, click Create New API Key to generate the API key for Infomart.
From the Create new credential dialog box, give your API key a name and select Harvest from the Type dropdown menu. When finished, click Create.
On the Manage API Key Permissions page, grant your API key the permission listed below. When finished, click Update.
Your Harvest API key for the Greenhouse Recruiting / Infomart integration is created and configured. Copy your Harvest API key and provide it to your contact on the Infomart Tech team so they can set up the integration. When you provide your Harvest API key to the Infomart team, they will provide you with the Secret Key you need to create the webhook in the next step.
Create Greenhouse Recruiting / Infomart Webhook
The Infomart integration uses a webhook to initiate background screening services when a candidate is marked as hired in Greenhouse Recruiting. To create the webhook for the integration, you will need two pieces of information from the Infomart team:
- Infomart's Endpoint URL: https://api.infomart-usa.net/webasap-api/v1/greenhouse/initiateScreening
- Infomart’s Secret Key: Provided by the Infomart Tech team
Once you have obtained the Secret Key, you are ready to configure the webhook. In Greenhouse Recruiting, click the Configure icon in the upper right-hand corner and navigate to Dev Center on the left-hand panel. From the Dev Center page, click Web Hooks.
Click Web Hooks from the subsequent page.
On the Create A New Web Hook page, provide the following details:
- Name: Infomart services
- When: Candidate has been hired
- Endpoint URL: https://api.infomart-usa.net/webasap-api/v1/greenhouse/initiateScreening
- Secret key: The secret key received from the Infomart Tech team
- Error recipient email: The email address that should be notified if a webhook error occurs
Click Advanced settings... and provide the following details:
- Username: Enter your Infomart account number
- Password: Enter your Infomart account password
- Disabled?: Set to No
When finished, click Create Web hook. You should see a popup dialog appear on the top of the screen indicating a successful ping to the Infomart endpoint.
Create Custom Job Field
Infomart services requires a background package and employment type to be specified for the job a candidate is applying for. As the standard Greenhouse Recruiting job object does not include this parameter, it is required to add a custom field. Follow the steps below to ensure any jobs you create for Infomart services include a package selection option.
Click the Configure icon in the upper right-hand corner and navigate to Custom Options on the left-hand panel.
From the Custom Options page, click Jobs under the Company Custom Fields section.
From the Custom Fields: Jobs page, click Add Field.
On the subsequent page, provide the following details:
- Field Name: Background Screening Package
- Description: Field for selecting background screening packages
- Type: Single select
- Options: Enter all available package options, with each option on a new line
When finished, click Save at the bottom of the page.
