CompuFact

Greenhouse Recruiting's integration with CompuFact allows you to automatically take newly-hired candidate profiles from Greenhouse and add them to CompuFact for background checks. To link your Greenhouse account, contact CompuFact Customer Success for the endpoint URL and secret key. You will need both to complete the integration. Once you have both of these items, complete the following steps to link your accounts!

 

Set Up Admin Access

After you have received your endpoint URL and secret key from CompuFact, contact a Greenhouse user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions.

Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon Screen_Shot_2018-05-24_at_5.31.51_PM.png > Users > Your Name.

The user with Site Admin level permissions should navigate to the Permissions panel on your user page and expand the Developer Permissions dropdown menu. 

Select Can manage and configure web hooks so that a check is in the checkbox. When finished, click Save.

Repeat as necessary for any other user that should have access to set up the integration.

 

Create CompuFact Web Hook

With the correct permissions configured, log into your Greenhouse user account. Click the Configure icon Screen_Shot_2018-05-24_at_5.31.51_PM.png from the upper right-hand corner of the page and navigate to Dev Center on the left-hand panel.

From the Dev Center page, click Web Hooks. Click Web Hooks from the subsequent page.

You will be directed to a new page where you Create a New Web Hook. From this page provide the following details:

  • Name: we suggest CompuFact Integration
  • When: Candidate has changed stage
  • Endpoint URL: The Endpoint URL received from the CompuFact Customer Success team
  • Secret Key: The Secret Key received from the CompuFact Customer Success team

Expand the Advanced Settings dropdown menu and provide the following additional information:

  • Username: Re-enter the Secret Key received from the CompuFact Customer Success team
  • Disabled?: No

When finished, click Create Web hook.

That's it! Your Greenhouse account and CompuFact account can now talk to each other. These settings dictate execution of the CompuFact web hook once the end user transitions the candidate into an appropriate application stage for a given job.

 

Create Candidate Custom Fields

This portion of the configuration allows CompuFact to provide a Background Check status, a link to the Background Check report (when applicable), and the date the report is completed. 

Return to the Configure page Screen_Shot_2018-05-24_at_5.31.51_PM.png and click Custom Options from the left-hand panel. Select Candidates from the subsequent page.

From the Manage Candidate Fields page, click +Add Field.

Use the subsequent Create New Candidate Field dialog box to input the following information in the appropriate fields:

  • Field: Background Check Status 
  • Type: Short Textbox

Click Save.

Repeat the above steps in this section to Create a New Candidate Field with the below information:

  • Field: Background Check Result
  • Type: URL

 and

  • Field: Background Check Completed Date
  • Type: Short Textbox

 In total, you should create 3 different custom candidate fields.

Create Job Custom Fields

This portion of the configuration allows the end user to select the applicable package and location necessary to complete the Background Check. It is necessary to select Package and Location for each job in Greenhouse. 

Return to the Configure page Screen_Shot_2018-05-24_at_5.31.51_PM.png and click Custom Options from the left-hand panel. Select Jobs from the subsequent page.

From the Manage Job Fields page, click +Add Field.

Use the subsequent Create New Job Field dialog box to input the following information in the appropriate fields:

  • Field: Background Check Package
  • Type: Single Select
  • Options: List of all your available packages (on individual lines)
  • Required: Yes

Click Save when finished.

Repeat the above steps in this section to Create a New Job Field with the below information:

  • Field: Background Check Location
  • Type: Single Select
  • Options: List of all your available locations (on individual lines)
  • Required: Yes

Click Save when finished.

In total, you should create 2 different custom job fields.

View Integration Order

Once a background check is initiated through Greenhouse, a request to complete the background check will be sent to the candidate’s email. The candidate will complete the required fields and sign the consent form.

CompuFact will receive the request will provide an update within Greenhouse that the order is in progress. Once the report is completed in the deverus platform, a status update is sent to Greenhouse with the results report

After using the integration, you may decide that you want to share more information between Greenhouse and CompuFact. If you would like additional information transferred over, please reach out to CompuFact Customer Success with a list of items to add!
