Greenhouse Recruiting's integration with Choice Screening allows you to seamlessly and automatically take newly-hired candidates from Greenhouse Recruiting and submit them for background screening into Choice Screening.

Configure user setup permissions in Greenhouse Recruiting
In order to enable the Greenhouse Recruiting / Choice Screening integration, you will need the following developer permissions:
- Can manage ALL organization’s API Credentials
- Can manage and configure webhooks
Note: The user enabling the integration must be a Site Admin, or a Job Admin with the additional user-specific permission Can manage custom fields.
Contact a Greenhouse Recruiting user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the developer permissions to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon > Users > Your Name.
The user with Site Admin level permissions should navigate to the User-Specific Permissions panel on your user page and expand the Developer Permissions dropdown menu.
Select Can manage ALL organization’s API Credentials and Can manage and configure web hooks so a check is in each checkbox. When finished, click Save.
Repeat as necessary for any other user that should have access to set up the integration.
Configure Choice Screening web hook in Greenhouse Recruiting
Before enabling the Greenhouse Recruiting / Choice Screening integration, you will need two pieces of information:
- Choice Screening’s endpoint URL
- Choice Screening’s secret key
To retrieve this information, please contact your Choice Screening salesperson or customer support. They will provide an endpoint URL and a secret key.
Once you have the endpoint URL and secret key, click the Configure icon in the upper right-hand corner and navigate to Dev Center on the left-hand panel. From the Dev Center page, click Web Hooks.
Click Web Hooks from the subsequent page.
On the Create A New Web Hook page, provide the following details:
- Name: Choice Screening Integration
- When: Candidate is hired
- Endpoint URL: The Endpoint URL received from the Choice Screening team
- Secret Key: The Secret Key received from the Choice Screening team
When finished, click Create Web hook.
That's it! Your Greenhouse account and Choice Screening account can now talk to each other. These settings dictate execution of the Choice Screening web hook once the end user transitions the candidate into an appropriate application stage for a given job.
Create Harvest API key for Greenhouse Recruiting / Choice Screening integration
To create a Harvest API key for the integration, click the Configure icon in the upper right-hand corner, and navigate to Dev Center on the left-hand panel. From the Dev Center page, click API Credential Management.
From the API Credential Management page, click Create New API Key to generate the API key for COMPANY.
In the Create New Credential dialog box, make the following selections:
- API Type: Harvest
- Partner: Choice Screening
- Description: Choice Screening Harvest API Key
When finished, click Manage Permissions to generate the Harvest API key and automatically assign it the appropriate permissions required by Choice Screening.
In the subsequent dialog box, click Copy to save your API key to your clipboard. Store the API key in a secure location to provide to Choice Screening in the next step. Click I have stored the API Key once you have copied and saved the key.
Note: You cannot access the full API key again after clicking I have stored the API Key. If you lose your API key and need to access it later, you must create a new API key, provide it to the integration partner, and then revoke access to the original key.
On the subsequent page, confirm the following permissions are assigned to your new API key:
- Candidates:
- POST: Add Note
- Users:
- GET: List Users
If any of the permissions above are not checked, place a check in the box next to the appropriate permission. Click Save when finished.
Your Harvest API key for the Greenhouse Recruiting / Choice Screening integration is created and configured. Provide the Harvest API key to your Choice Screening sales representative or customer service agent.
Create custom job field in Greenhouse Recruiting for package selection per job
To create a custom job field for the integration, click the Configure icon in the upper right-hand corner, and navigate to Custom Options on the left-hand panel. From the Custom Options page, click Jobs.
From the Custom Fields: Jobs page, click Add Field.
From the New Job Field page, provide the following details:
- Field Name: Choose a meaningful name, such as Choice Screening Background Check
- Type: Single select
- Options: Paste the package name as given to you by your Choice Screening sales representative or Customer Service agent
- Required: Check the box for Required
When finished, click Save.
Copy the immutable field key for your new custom job field and provide it to your Choice Screening sales representative or Customer Service agent.
That's it! Your Greenhouse account and Choice Screening account are now integrated!
Use Greenhouse Recruiting / Choice Screening integration
Once your Greenhouse implementation is integrated with Choice Screening, when you initiate a background screen on a candidate, Greenhouse Recruiting will automatically send to Choice Screening the candidate’s name and email address information as well as what background screening package that was selected to be run.
Choice Screening will then send a background screening consent email to the candidate, and pre-populate the information provided for the candidate. Once the candidate has consented to the background screen, the package selected will automatically be run.
Once the package that was ordered is complete, that activity is noted in the candidate activity feed, and you can see the full details of that report in the Choice Screening portal.
