Use the OneSpan Sign integration with Greenhouse Recruiting

The OneSpan Sign integration streamlines the eSignature process during recruitment and onboarding. As a Greenhouse administrator, you can configure this integration to trigger automatically at any stage of the recruitment process or when an offer has been approved. OneSpan Professional Services and/or OneSpan support team will assist you to select & configure your desired workflow.

The following example will focus on the scenario when a job offer has been approved.

When a Greenhouse user creates an offer for a candidate, they fill in the required offer fields. Next, the user generates the offer letter and attaches any necessary documents. The Greenhouse user will then submit the offer for approval. Once the approver approves the offer, this launches the eSign process.

The OneSpan Sign integration collects the candidate’s information and documents that need to be signed. It creates a new OneSpan Sign Electronic Signature package. OneSpan Sign automatically sends a secure link for the signing ceremony to the candidate.

The candidate receives the email, opens the link to the OneSpan Sign signing ceremony page, and reviews and eSigns the documents.

Admins: During the initial setup of the OneSpan Sign integration, you can customize the signing ceremony page to match your company’s branding. Additionally, you can enable user authentication and identity verification before document signing. These options apply to all transactions created through the integration.

Once the candidate signs the documents, the Greenhouse offer process is automatically marked as “Hired”. The OneSpan Sign transaction identifier is added to the candidate’s offer, and the signed PDF and Evidence Summary report are bundled in a single zip file under the Offer Documents section of the process.
