Limit offer document templates by offices, departments, employment types, and custom offer fields

Permissions: Job Admin who can manage offer templates; and Site Admin who can see private notes, salary info, manage offers, request approvals, and approve jobs/offers

Product tier: Available for all current subscription tiers (Core, Plus, and Pro)

Teams hiring across multiple offices, departments, employment types, and compensation scenarios often require many offer templates to support each variation.

In addition to limiting offer templates by offices, departments, and employment types, you can also restrict templates using offer custom field values. These dependencies control which templates appear during offer creation, helping recruiters select the correct document while reducing compliance risk.

Configure offer templates

To begin, click the Configure icon Configure-icon.png , then go to Documents > Offer Templates.

From the Offer Templates page, click + Add template to add a new template. If you want to modify an existing template, click the ellipsis (...) menu, then choose Edit settings.

Name your offer template and select a file to upload. 

Note: Offer templates can only be uploaded with the file type .docx.

In the Template availability section, select one or more offices, departments, employment types, and/or custom offer fields to designate where the offer document template populates. 

By default, all offices, departments, and employment types are selected. Click into each of these dropdown menus if you want to only show for certain offices, departments, or employment types. 

In the example below, this offer template will show during offer generation for any candidate that will be in the Dublin office, part of the Product Design department, and a full-time employee.

To use a custom offer field as an option to control when this template appears during offer generation, click + Add custom offer field

Choose your offer field and any value (it can include any/all values, if desired). 

In the example below, this offer template will show during offer generation for any candidate that is a full-time or part-time employee who has the custom offer field "Location" set as Hybrid.

Note: You can add Offices or Departments under the Organization section of your Configure panel. Click here to learn more about adding new Offices and/or Departments.

Configuring your list of Employment Types can be managed under the Custom Options section of your Configure panel. From the Custom Options section, you can manage your Employment Types either under Jobs or Offers. Please keep in mind, the Jobs and Offers custom fields are linked, so any changes made to one custom field will update in both sections. After your selections are complete, click Add template or Update (if editing existing offer template.)

 You will be asked to test your template to ensure the tokens are configured correctly. Click, Test in-line with the recently uploaded template. 

A box will appear confirming all the tokens successfully applied to your new template. Click, Ok.

You will now see Verified for your new offer template. This indicates the upload and token verification were successful. 

Note: Any existing templates will be available for all Offices, Departments, and Employment Types until their settings are configured. 

Create an offer 

Once you’ve limited an offer template to your preferred Offices, Departments, or Employment Types, that template will only appear for offers that meet specific criteria when you creatie an offer

Example: If you limit an offer template to appear for engineering internship roles in San Francisco, that template will only appear when generating an offer for candidates matching those three selections. The template would not show up for engineering internship roles in New York or engineering full-time roles.
