With Firstbird you create your own network of Talent Scouts and encourage them to share your jobs on their social networks and make candidate referrals. Firstbird is packed with gamification and communication features to ensure your network of Talent Scouts stays engaged and is rewarded for certain activities.

Greenhouse Recruiting's integration with Firstbird enables you to export job posts automatically from Greenhouse Recruiting to Firstbird. The integration will also directly export your referrals, as well as feedback, from Firstbird to Greenhouse Recruiting. Candidate updates will also sync back to Firstbird so your employees stay up-to-date on the status of their referrals.

Setup integration in Firstbird

To allow automatic publishing of your job posts from Greenhouse Recruiting to Firstbird, you'll need to ensure that your offices, departments, recruiters, and rewards have been correctly set up in Firstbird.

Without this information, the job import is still possible but jobs will be imported in Jobs – Drafts and will have to be published by a recruiter manually. If this is okay with you, you may skip this step and directly continue with Create a Harvest API key for the Firstbird integration.

Offices and departments

Login to Greenhouse Recruiting as a Site Admin and select Configure > Organization to view a list of your offices and departments.

Now login to your Firstbird Account as a Company Administrator and select Account Preferences > Settings > General to review your locations and departments. Locations in Firstbird are synonymous with offices in Greenhouse Recruiting.

Add all offices and departments from Greenhouse Recruiting as locations and departments in Firstbird. When you are finished, the platforms should match.

Recruiters

Login to Greenhouse and select Configure > Users.

In another browser tab, login to Firstbird and select Account Preferences > User Management.

Ensure that all users that may be on a job's hiring team in Greenhouse Recruiting are also listed as administrators or recruiters in Firstbird as well.

Note: The Firstbird integration requires an identically matching first and last name in Greenhouse Recruiting and Firstbird in order to perform correctly.

Rewards

In Firstbird, select Account Preferences > Rewards to view the list of rewards that you can create or edit.

After customizing your rewards as you wish, login to Greenhouse Recruiting and select Configure > Custom Options > Jobs. Click Add Field, and create a new custom job field with the following information:

  • Name: Reward
  • Type: Single-select
  • Options: Enter all the rewards you created in your Firstbird account, placing each reward on its own line.
  • Required: Yes

When finished, click Save to create the custom job field.

Hot job (optional)

If you'd like to set hot jobs directly from Greenhouse Recruiting, follow these steps. You can read more about hot jobs in this Firstbird article.

Login to Greenhouse Recruiting and select Configure > Custom Options > Jobs. Click Add field.

Create a new custom job field with the follow information:

  • Name: Hot
  • Type: Yes / No
  • Required: Yes

When finished, click Save to create the custom job field.

Create a Harvest API key for the Firstbird integration

To configure the Greenhouse Recruiting / Firstbird integration, you'll need to create a Harvest API key.

Follow the steps in this article to create the key, and verify that the credentials and permissions below are selected when configuring the Firstbird integration.

Credentials

In the Create New Credential box, make the following selections:

  • API type: Harvest
  • Partner: Firstbird
  • Description: Firstbird Harvest API key

Permissions

Verify that the following permissions are selected for the Firstbird integration:

Jobs

  • GET: Retrieve job
  • GET: List jobs

Job Posts

  • GET: List job posts

Users

  • GET: List Users

Sources

  • GET: List sources

Candidates

  • POST: Add candidate
  • POST: Add attachment
  • POST: Add note

Applications

  • GET: List applications
  • GET: Retrieve application
  • PATCH: Update application

Departments

  • GET: Retrieve department
  • GET: List departments

Offices

  • GET: List offices
  • GET: Retrieve office

When finished, click Save. Copy your Harvest API key in a secure location to provide to Firstbird in a later step.

Enable the Firstbird integration

To compplete the First integration setup, login to Firstbird as a Company Administrator.

Select Account Preferences > Integration > Services.

Click Connect to authenticate the Greenhouse integration.

Enter the Harvest API Key you created in the previous step. Toggle the 'Enabled' checkbox, and click Save.

After you click Save, the integration is installed.

Note: Once enabled, jobs are synced by the First integration every 60 minutes.

Use the Firstbird integration

Job synchronization

Before a job can be synced with your Firstbird account it has to be published as a live job post on your job board in Greenhouse Recruiting. Job sync will import and update jobs from Greenhouse Recruiting to Firstbird, and it will also close jobs when they're no longer live in Greenhouse Recruiting.

Referral / application export

As soon as a new referral arrives in Firstbird, a new candidate will be created in Greenhouse Recruiting. Firstbird will sync the follow information on the new candidate profile:

  • First name
  • Last name
  • Email address
  • Phone number
  • Social media links
  • Attachments

Talent scout feedback

A talent scout can provide feedback for a referral to give the recruiter more information about the candidate. This information is added automatically to the Greenhouse Recruiting candidate profile as well, via a note on the candidate Activity Feed.

Candidate status update

The Firstbird integration syncs relevant status updates of the candidate (like rejected or hired) from Greenhouse Recruiting to Firstbird so your employees are always kept informed on their referrals.
