HRIS Link can import and update jobs in Greenhouse Recruiting using the most current data from your HRIS. However, HRIS Link will not reopen closed jobs in Greenhouse Recruiting. When your team opts to reopen frozen requisitions in Workday®️, there are some important considerations to keep in mind for the corresponding jobs in Greenhouse Recruiting.

Reopening frozen requisitions in Workday®️

When using requisitions on Workday®️ with HRIS Link, reopening frozen requisitions has an impact on the corresponding jobs in Greenhouse Recruiting.

A job in Greenhouse Recruiting can have an open, closed, or draft status, with openings on each job having an open, closed, or hired status.

Example: You may have one Customer Success Manager job in Greenhouse Recruiting, under which are multiple openings (or headcounts) on the job.

Ideally, your job / opening status in Greenhouse Recruiting should match the requisition / position status in Workday®️, where a frozen requisition's job is manually closed in Greenhouse Recruiting. This is because if you reopen a frozen requisition in Workday®️, HRIS Link will automatically add an opening to the job in Greenhouse Recruiting, if the job is already open.

However, HRIS Link will not reopen closed jobs in Greenhouse Recruiting, meaning if the job is closed, you'll need manually reopen it in Greenhouse Recruiting when you unfreeze or reopen a requisition in Workday®️.

If the job is closed in Greenhouse Recruiting, navigate to the job (Jobs > Job name), and click Re-open this Job.

Note: If your job is using job approvals, the job will need to be placed in draft status in order to request approval for reopening. Click Open as Draft, then click Request Approval.

Next, you should manually match the opening ID for your new opening to the requisition's position ID in Workday®️.

Click Job Setup > Approvals, and then click Edit Job & Openings.

Find the newly created opening, and edit the opening ID to match your position ID in Workday®️. You should also ensure the opening's open date matches the position's open date in Workday®️.

When finished, click Save.

Note: Since openings can be required to have opening IDs, an opening ID may be generated automatically by HRIS Link if your job was already open when you unfroze it in Workday®️. If opening IDs aren't required for your organization, the opening ID will be left blank by HRIS Link. In either case, you should manually edit the opening ID to ensure it matches the position ID set in Workday®️.
