Inaccurate hiring data can cause frustration and confusion when running reports, and it can be overwhelming to try to correct bad information after it becomes apparent. But hiring doesn't have to be a headache – your organization can employ a few best practices to drive data integrity and resolve inaccurate hiring data.
Jobs and openings
Open dates
Inaccurate open dates can cause discrepancies in reports, particularly for the time to hire report. Make sure accurate open dates are maintained at the job and opening level.
To confirm your job's open date, navigate to Job Setup > Job Info and view your job's open date. Click Edit icon to adjust the date if necessary.
To confirm openings' open dates on a job, navigate to Job Setup > Approvals > and scroll to Openings to review your openings' open dates. Click Manage Openings to adjust the dates if necessary.
Finally, when hiring a candidate, double-check the opening you're hiring them against has the correct open date!
Note: If you add a candidate to Greenhouse Recruiting who was hired prior to the date on which you're adding them, be sure to adjust the open date of 1) the job, 2) the opening, and 3) the hired date on the offer. If you only adjust the latter, your reports could show 0
days to hire for the candidate.
Transfers
Some larger organizations may maintain evergreen or pipeline requisitions, for which they transfer hired candidates to a hire requisition. In these cases, it's important that your hire requisition show accurate open dates on 1) the job, 2) the opening, and 3) the hire date on the offer.
Candidate records
Accurate candidate records ensure activity and hiring reports reflect reliable information.
If you add a candidate to Greenhouse Recruiting after you've already started considering them, backdate their application date.
To backdate an application date, navigate to the candidate profile (Candidates page > select or search for the candidate), and hover over the Application Review stage.
Click the Edit icon beside the Applied On date.
Update the Application Date to the date you began considering them for the job.
Offers
Each time you hire a candidate for a role, make sure you're resolving the offer by clicking Mark Candidate as Hired on the candidate profile under Offer Details.
When hiring a candidate, double-check the opening you're hiring them against has the correct open date.
If the candidate's offer is updated in Greenhouse Recruiting on a different day than the actual offer was accepted or rejected, you should adjust those dates to reflect reality.
Navigate to the candidate profile (Candidates > Select or search for candidate), and click Offer Details.
Ensure the dates on the offer are correct, or click the Edit icon to adjust the dates.
Note: It is possible to re-trigger offer approval flows if your organization has opted for changes to the start date to trigger a new offer version.
How to audit for inaccurate hire data
There are a few different reports in Greenhouse Recruiting that can be helpful for finding inaccurate hiring data. Check out the table below to learn which report may be useful for you:

Time to fill by job report | If your time to hire report shows 0 days in the Days to Hire column, it likely means a candidate was marked as hired on the same day that the job opening was marked as open. |
Offer activity report | If your offer activity report shows any offers on the Outstanding Offers column, some candidate offers haven't been marked as accepted or rejected. |
Time to hire by candidate report | If your hiring speed per candidate report shows 0 days in the Days to Offer column, it likely means a candidate was marked as hired on the same day that the job opening was marked as open. |
