Hello Recruiter is an AI-powered interviewing platform. It conducts live, conversational AI interviews and returns structured, evidence-based evaluations - an overall fit score, per-skill scores with supporting evidence, integrity signals, and a hire recommendation — so recruiting teams can screen every candidate consistently, at any scale.
Hello Recruiter's integration with Greenhouse Recruiting allows users to trigger AI interviews directly from a job's interview plan and receive each candidate's results - score, skill breakdown, risk signals, a completed scorecard, and a link to the full interview report - on the candidate's profile in Greenhouse Recruiting. The integration has two parts, both set up during onboarding: an OAuth connection to the Greenhouse Recruiting API, which imports your jobs and writes results back to each candidate's profile, and the Hello Recruiter assessment stage, which Greenhouse Recruiting uses to send tests to candidates and display their status and score.
Configure the Hello Recruiter integration
The integration is available on Hello Recruiter Enterprise plans and is set up together with your Hello Recruiter account manager.
Contact your Hello Recruiter account manager or email support@hellorecruiter.ai to enable the integration for your organization.
A Site Admin — or a user with permission to manage ALL of the organization's API credentials — authorizes the connection: from Hello Recruiter, click Connect with Greenhouse, sign in to Greenhouse Recruiting, review the requested permissions on the consent screen, and click Authorize. The consent screen also offers an Authorize using a service account option; select it so the connection is owned by an organization-level service user rather than an individual account. Only Site Admins can choose this option. For details, see Connect to Harvest v3 partner integrations. The connection uses OAuth 2.0 (authorization code flow).
Once the connection is authorized, Hello Recruiter automatically:
Registers its webhook subscriptions through the Greenhouse API — covering new applications, candidate updates, stage changes, hire/reject decisions, and job changes. Every delivery is verified with a per-connection signing secret. There are no Dev Center steps for you to perform.
Imports your open jobs and prepares each one for AI interviews: the job description is parsed, and evaluation criteria and interview questions are generated — seeded from your own Greenhouse interview kits and candidate attributes when available, so the AI asks the questions your team already configured.
Makes the Hello Recruiter stage available in your Greenhouse stage library.
Enable the Hello Recruiter assessment stage. This step is not automatic — see Enable the assessment stage below. Until it is complete, tests cannot be sent to candidates.
Data the integration reads and writes
The integration's access is read-mostly. It reads jobs, job posts, candidates, applications, application stages, interview kits and scorecard attributes, and users. It writes exactly three things back to Greenhouse Recruiting:
- Notes — a summary note on the candidate's activity feed when an interview completes.
- Scorecards — a completed scorecard filed on the candidate's application, with the overall recommendation and key takeaways.
- Test status and score — the take-home test status and score on the candidate, reported through Greenhouse's Assessment API.

Enable the assessment stage
Follow the steps in this article to retrieve your API key from your Hello Recruiter representative and add the assessment stage in your interview plans: your Hello Recruiter account manager provides your organization's assessment API key during onboarding, you open a ticket with the Greenhouse Technical Support team, and they send a SendSafely link where you enter the key securely. Greenhouse confirms once the integration is enabled for your account.
Once you've set up your interview plans and configured your take-home test stage, you'll be able to send tests to candidates.
Use the Hello Recruiter integration
Add the Hello Recruiter stage to a job
- In Greenhouse Recruiting, open the job and go to Job Setup > Interview Plan.
- Click Add a Stage, choose Add from library, select Hello Recruiter, and click Add.
- Drag the stage anywhere in the interview plan — most teams place it right after application review or the recruiter screen.
- On the Hello Recruiter stage, confirm Hello Recruiter is selected as the test, and use the Graders panel to add anyone on your team who should review results in Greenhouse Recruiting.
Rolling the integration out across jobs? Use Copy from another job in the same dialog to reuse an interview plan that already includes the Hello Recruiter stage.
Send a test to a candidate
- Advance the candidate to the Hello Recruiter stage in their pipeline — one at a time or in bulk.
- On the candidate's profile, the stage shows a Submitted tests panel reading "Test needs to be sent to candidate." Click Send test to candidate.
- The interview invitation email is sent by Hello Recruiter (not Greenhouse), and the candidate completes a live AI interview whenever suits them — no scheduling required.
After it has been sent, the assessment's status displays in Greenhouse Recruiting and updates automatically when the candidate finishes — there is nothing to refresh or enter manually.
Prefer zero clicks? Hello Recruiter can start interviews automatically whenever a candidate enters a stage you choose — tell your account manager which stage, and skip the send step entirely.
Review results in the interview kit
When the interview completes, open the candidate and click Go to interview kit on the Hello Recruiter stage. The results render directly in the kit.
The scorecard is divided into multiple sections:
Key Takeaways: This section syncs the complete evaluation details from Hello Recruiter into Greenhouse. The following parameters are synced:
- Score — the overall fit score out of 100.
- Evaluation — a narrative summary of the candidate's experience, strengths, and gaps.
- Risk Level and Risk Score — integrity signals from the interview session.
- Hire Recommendation — strong hire, hire, neutral, or no hire.
- Per-skill scores — each evaluated skill scored with a sentence of evidence from the interview (for example, ".NET and C# Development — 10/10").
Public Notes: This shows a quick overview of the evaluation, that is also visible in the public activity section of the candidate.
To see a candidate's full results in Hello Recruiter, click View Report. The report includes the interview transcript, recordings, and detailed per-criterion scoring.
Security & data handling
- Read-mostly access — the connection reads jobs, candidates, and applications; its only write permissions are adding notes, filing scorecards, and reporting take-home test status and score.
- Encrypted at rest — credentials, webhook secrets, and API keys are encrypted before storage and never logged.
- Verified webhooks — every webhook delivery is verified with an HMAC signature before it is processed; unsigned or tampered payloads are rejected.
- Tenant isolation — all synced data is scoped to your organization and never shared across accounts.
- Limited retention — raw webhook payloads are automatically purged after a retention window.

- A candidate says they didn't receive the interview invitation. The invitation email is sent by Hello Recruiter, not Greenhouse — have the candidate check their spam folder, and contact support@hellorecruiter.ai if it still hasn't arrived.
- How quickly do results appear? Results typically appear in Greenhouse Recruiting within minutes of the candidate completing their interview.
- How do we disconnect the integration? Contact support@hellorecruiter.ai — the webhook subscriptions are removed automatically when the connection is disconnected, and a Site Admin can also disconnect Hello Recruiter from Dev Center > Connected Integrations in Greenhouse Recruiting, which revokes access immediately.
