Verified First provides comprehensive background screening services. This integration with Greenhouse Recruiting allows users to seamlessly initiate background check orders and track screening statuses directly within the Greenhouse Recruiting platform.
Configure the Verified First integration
Before configuring your data pipeline, you must authorize Verified First to access your Greenhouse system details. This step automatically creates the necessary custom data fields on your candidate profiles and job setups. You may accomplish this during the initial setup communication with Verified First upon stating your intention to integrate with Greenhouse.
Your Verified First representative will initiate the setup and send an automated email to the Greenhouse Site Admin.
Open the email and click the green SETUP OAUTH button.
You will be redirected to an authorization page. Enter your Greenhouse administrative credentials and click the blue Login to Greenhouse button.
Click Authorize to grant Verified First access to your tenant.
Upon a successful handshake, you will receive an "Authorization Successful" message, and the required fields (VerifiedFirst Package, VerifiedFirst Cost Code, VerifiedFirst Status, VerifiedFirst Adjudication Status, and VerifiedFirst Report Link) will be automatically generated inside your Greenhouse account.

Use the Verified First integration with Greenhouse Recruiting
Verified First supports custom stages as initiation points. While Reference Check is the standard out-of-the-box trigger stage, you can provide Verified First with the exact, case-sensitive name of any stage in your workflow to act as the automated background check launcher.
Method 1: Individual selection (via candidate profile)
Use this approach if you need to select a unique screening package for a single applicant that deviates from standard job requirements.
Go to the Candidates tab in Greenhouse and select your target applicant.
Scroll to the custom fields area on the profile to view the automated dropdown slots: VerifiedFirst Package and VerifiedFirst Cost Code.
Click the Pencil icon next to each field to select your desired package and billing criteria, then save.
Move the candidate into the Reference Check stage (or your organization's custom trigger stage). The system immediately fires the webhook payload.
Method 2: Default selection (via job setup)
Use this approach to apply a uniform background check package and billing code to every single applicant for a specific open requisition.
Go to the Jobs tab in Greenhouse and select the specific job.
Click on Job Setup and open the Job Info section.
Click See all to expand the technical field data.
Locate the VerifiedFirst Package and VerifiedFirst Cost Code dropdown menus, select the default values for the role, and save.
When any applicant within this job's pipeline is moved to the Reference Check stage (or your custom trigger stage), the integration automatically places the order using these preset job defaults.
Order of precedence: Individual Candidate Profile selections override Job Setup defaults. If you want the system to utilize your Job Setup defaults (Method 2), ensure the screening fields on the individual candidate's profile are completely blank/empty.
Monitor order progress
After advancing an applicant to the trigger stage, reload the candidate's page. The system will display live status logs in the following fields:
- VerifiedFirst Status: Reflects the live processing status (e.g., "Pending", "Completed") or surfacing API errors.
- VerifiedFirst Adjudication Status: Surfaces the final background check decision marker (e.g., "Approved").
- VerifiedFirst Report Link: Provides a secure hyperlink that opens the completed verification report directly within the Verified First portal.
