Overview
What is Greenhouse Notetaker?
Greenhouse Notetaker is an AI-powered feature in Greenhouse Recruiting that records and transcribes supported video interviews, then generates AI-assisted summaries and structured notes to help interviewers complete scorecards more efficiently.
Greenhouse Notetaker is designed as an assistive tool only. It does not automatically advance, reject, rank, or score candidates. All hiring decisions remain with your recruiting team.
What meeting platforms does Greenhouse Notetaker support?
Greenhouse Notetaker currently supports:
- Zoom
- Google Meet
- Microsoft Teams
Phone interviews and in-person interviews are not yet supported.
How does Greenhouse Notetaker use AI?
Greenhouse Notetaker uses AI to generate interview summaries and structured notes from interview transcripts.
The AI-generated content is assistive only and does not make hiring recommendations or decisions.
Data processing and privacy
Can candidates opt out of being recorded?
Yes.
Candidates can opt out of recording during the scheduling or self-scheduling process. If a candidate opts out, Greenhouse Notetaker will not be activated for the interview.
If a candidate withdraws consent during the interview, the interviewer can remove the recording bot directly from the interview kit or meeting platform controls.
Candidate opt-in and opt-out status is tracked per application.
What personal data does Greenhouse Notetaker process?
Greenhouse Notetaker may process:
- Interview audio and video
- Interview transcripts, with speaker attribution
- AI-generated summaries and notes
- Interviewer names
- Candidate names and pronouns for transcript attribution and summary generation
Greenhouse Notetaker does not process resumes, application responses, or other structured application data.
Does Greenhouse store interview recordings, ID images, or biometric artifacts?
Greenhouse stores interview recordings, transcripts, and AI-generated notes associated with Greenhouse Notetaker.
However, Greenhouse does not generate or store biometric identifiers, facial recognition templates, or similar biometric artifacts.
Recordings and transcripts are retained according to your organization’s configured data retention settings.
Security and AI governance
Is customer or candidate data used to train AI models?
Greenhouse does not use interview recordings, transcripts, or AI-generated notes to train machine learning models.
