Greenhouse Recruiting's integration with Astronaut allows you to seamlessly add Astronaut’s assessment to a job’s interview plan.

Configure setup permissions in Greenhouse Recruiting

To configure the Greenhouse Recruiting/Astronaut integration, you’ll need the developer permission Can manage ALL organization’s API Credentials

To assign this permission, find a Greenhouse user in your organization with Site Admin level permissions and the specific Can edit another user's advanced permissions role to update your account.

This permission can be updated by navigating to the user page (Configure icon > Users > Your Name).

Scroll to the Permissions panel on your user page and expand the Developer Permissions dropdown menu. 

Select Can manage ALL organization’s API credentials in the Developer Permissions section and click Save.

Repeat as necessary for any other user that needs to set up the integration.

Create a Harvest API key for the Greenhouse Recruiting/Astronaut integration

Note: To generate an API key, you must have the developer permission Manage ALL organization's API Credentials

Click on the Configure  icon and select the Dev Center on the left side of the page.

Select API Credential Management in the Dev Center.

From the API Credential Management page, click Create New API key to generate the API key for Astronaut.

In the Create New Credential window, make the following selections:

  • API Type: Harvest
  • Partner : <leave it blank>
  • Description: Astronaut Harvest API key

Click Manage Permissions

Click Copy to save your API key to your clipboard. Store the API key in a secure location to provide to Astronaut in the next step.

Click I have stored the API key once you have copied and saved the key.

Note: You won’t be able to view the API key after clicking I have stored the API key. If you lose your API key or need to access it later, you’ll need to generate a new key and provide it to Astronaut.

Select the checkboxes next to each permission box to associate it with the API key.

The following permissions are needed for the Astronaut integration:

  • Applications
  • Candidates
  • Jobs

When you’re finished, click Save

Your Harvest API key for the Greenhouse/Astronaut integration is created and configured. Provide your Harvest API key to your Astronaut onboarding team so they can set up the integration.

Register with Astronaut and collect your Astronaut API key

If you already have an Astronaut Account, please log in to https://app.astrmt.co. If you don't have an account, you can register at https://astrnt.co/register or send an email to help@astrnt.co to express your interest in using Astronaut's Greenhouse integration.

If you already have a Harvest API key, we’ll give you instructions on how to send your Harvest API key safely to Astronaut.

After you log in to Astronaut, you’ll see your Astronaut Dashboard. Please go to your account settings in the top right corner and choose Organization Details.

You’ll see your Astronaut API key on the Organization Details page. You’ll need this API key to complete the next steps.

Send Astronaut API key to Greenhouse

After registering with Astronaut, you will receive your API key. Once you have received your Astronaut API key, click here to open a ticket with Greenhouse. If you're logged in to your Greenhouse account, you can also click the Get help widget in the bottom left corner of the page.

Note: Do not send your API key in unencrypted communication, such as email and support tickets. If they are needed for setup, Greenhouse Support will provide a secure way to send your API keys. Wait for a confirmation email from Greenhouse Support. You may be required to verify your account before you can proceed.

The Greenhouse Support Team will provide a SendSafely link where you can enter your API key. Once Greenhouse Support has been notified that you’ve entered your API key, they will send a confirmation email.  

Set up and send Astronaut’s interview session

Set up interview questions template on Astronaut Platform

Log in to your Astronaut account.

To create a new Astronaut test/assessment template, click on the Assessment Library tab.

With the Assessment Library template, you can:

  • Create, edit and delete a video question
  • Create, edit and delete a free-text question
  • Create, edit and delete a multiple-choice question
  • Create, edit and delete a template

To create, edit and delete your Astronaut question template, click on the Template tab.

To create a new template, click the Add Template button.

The Add Template window will show. Here, you can add and edit:

  • Template name
  • Template description
  • Dynamic Deadline: How many days (after the candidate received an invitation to complete the Astronaut assignment) that the candidate can complete the Astronaut Q&A session before the it becomes unavailable.
  • Make this available to others (Leave it on “No” if you don’t want this template to be accessible to other Astronaut users)
  • Scoring method (Leave it on “Manual”)

Click on Add to create a blank template.

After a blank template is created, you can add questions by choosing the video/free-text/multiple-choice tab.

You can also use sections to combine video, free-text and multiple-choice in one template.

After you choose the questions that you want to put into the template, they will be added to the template.

Click on Update Template if you are satisfied with your template settings.

The Update template window will show to let you confirm your template settings.

Click Update to finalize your new choices.

Note: All templates that contain questions will appear in Greenhouse Recruiting when you choose which Astronaut template assessment to send to candidates.

Add Astronaut stage to an interview plan

Once the Greenhouse Recruiting/Astronaut integration is enabled for your organization, you will be able to add the Astronaut assessment as an Interview stage. 

To add a stage to an existing job, navigate to a job (All Jobs>Job Name) and click Job Setup tab. 

Select Interview Plan on the left side of the page and click + Add a Stage.

Select the Astronaut stage on the next window. When you’re finished, click Add to apply the stage to the job's interview plan.

Set up the assessment in the Astronaut stage

After the stage has been added to the job's interview plan, you’ll need to choose the assessment for the stage. To choose the assessment, click Edit Take Home Test

Choose the assessments from the dropdown menu. These options are based on the assessments you configured in Astronaut. 

Assign at least one Greenhouse Recruiting user to grade/review submitted assessments. When you’re finished, click Save.

Note: All configurations of the assessment, including the email template, will need to be done in Astronaut.

Send and review a test

When candidates are moved into the Astronaut interview stage, Greenhouse will display a Send Test link.

Note: When you send a partner assessment from inside Greenhouse Recruiting, the interview instructions will still be sent by Astronaut.

You can choose which test/assessment template that you already set up in the Astronaut recruiter dashboard.

After it has been sent, the assessment’s status will display in Greenhouse Recruiting. 

The candidate will receive an invitation email from Astronaut to complete the Astronaut interview session.

The candidate will then click Start Q&A Session to proceed.

Once the candidate has submitted their test, the Interview Kit in Greenhouse will contain a link to view the submitted test in the Astronaut application. Click on the Astronaut stage to see the candidate's results.

Click View Report to see the candidate’s results in the Astronaut recruiter dashboard.  

You will be redirected to the Astronaut recruiter page to see the candidate’s test results.
