The Ezra integration allows you to invite candidates to complete a Voice AI interview directly from your hiring pipeline, or automate invitations with stage transitions. Every result — scores, detailed rationale, transcripts, and recordings — flows back into Greenhouse Recruiting for your team to review on the candidate record.

Prerequisites

A Greenhouse Site Admin is required to connect Ezra to Greenhouse. Please make sure a Site Admin for your Greenhouse organization is available to complete the steps below.

This integration also requires you to connect with Greenhouse's Account Services team. Please open a ticket with Greenhouse support to get connected before starting the setup below.

Connect Ezra to Greenhouse

Only one person needs to complete this setup. Once the integration is connected, it's automatically enabled for your entire organization — no additional setup is required for other users.

Go to Company Settings > Connect ATS.

Click Connect ATS, then click Continue to Setup in the pop-up window. This pop-up explains the complexity of the integration and recommends completing setup on a call with your Ezra contact.

Select Greenhouse, then click Connect with Greenhouse.

On the next page, enter the email address you use to log in to Greenhouse and click "Log in to Greenhouse."

On the following page, select Use Service Account. This step is required — the integration will not work if it's skipped. If you continue without selecting Use Service Account, you'll need to contact Greenhouse support to reset the integration.

Click the "Authorize" button. You'll be redirected back to the Ezra app.

You'll see a list of your jobs pulled in from Greenhouse. Import any ATS jobs you'd like to connect from the list that appears.

Train your interviews in Ezra so they're visible in Greenhouse.

Set up the integration in Greenhouse

Set up your Greenhouse email template

Send yourself or your client the invitation email template if you haven't already received it.

In Greenhouse, go to Configure > Email Templates > Add a Template.

Give the template a name.

Under Type, select Candidate Email.

Add any subject line you'd like and paste in the invitation email template from the step above.

Replace the template's variables with the matching tokens inside Greenhouse.

Add the Ezra stage to a job

Go to a job's setup, select Interview Plan, and add the Ezra stage. This stage typically lives early in the process, but you can place it wherever it best fits your hiring workflow.

After adding the Ezra stage, select the pencil icon on the Ezra AI Labs card to edit the stage.

  • Choose which Ezra interview to apply to this job.
  • Any interview in Ezra can be applied to any job in your ATS — the Ezra interview acts as the "test" for that job.
  • Update any additional settings on this page as needed.

Share the public link for the job you're working on with your Ezra contact, then apply to the public job post as a test candidate.

  • It may take a minute or two for the candidate to populate in the pipeline.

Test the integration

Note: The Send Test button does not actually email the candidate.

Prepare a test

  • Move the new candidate into the Ezra AI Labs stage.
  • Click into the candidate's card in the stage.

Selecting Send Test to Candidate creates the invitation link in Ezra's system and populates the unique URL under the candidate tab on the right side of the page.

  • This does not email the candidate — it only creates their unique invitation link.

Once the link appears under the candidate tab, you can email the candidate.

Send the test

Click the email icon (center of the page) to email the candidate, and select the template you created earlier. Any token variables you selected will populate automatically.

The candidate's email is unique to them — when they access the interview, they'll see their own name and information instead of generic placeholders, and they won't need to enter an email address to begin.

After a candidate completes the interview, you'll see a wealth of data in Greenhouse, including (but not limited to) their score, strengths, weaknesses, interview duration, and assessment URL.

Automate the integration with stage transitions

Once you're comfortable with the manual flow, you can automate it using stage transitions.

  • Create a stage transition that automatically runs Send Test to Candidate when a candidate is moved into the Ezra stage. This still doesn't email the candidate — it only creates their invitation link automatically.
  • Create a second stage transition to automatically email the candidate.
    • When creating this stage transition, you can use an existing email template or create one on the fly. Tokens are available the same way as in the standard email template flow.

Voice AI interview data now aligns with your Greenhouse GDPR settings

We are pleased to announce that the Voice AI integration now synchronizes directly with your Greenhouse GDPR rules. This update ensures that when you delete or anonymize a candidate in Greenhouse, their associated Voice AI interview data is managed accordingly, streamlining your compliance processes.

When you anonymize a candidate

If your retention policy includes Scorecards and interviews, Greenhouse will now automatically:

  • Remove the candidate's Voice AI interview record, including transcripts, audio, scores, and resume data.
  • Clear the associated Voice AI information from the candidate's profile, such as scores, interview links, and cheat detection statistics.

This process occurs automatically, ensuring your data remains aligned with your settings without requiring manual intervention.

When you delete a candidate or application

When a candidate is deleted from Greenhouse Recruiting, their Voice AI interview data will be deleted. Please note that Voice AI interviews are permanently removed in the following instances:

  • The candidate application is deleted
  • The candidate is transferred to a new job
  • The Greenhouse job is deleted

If a candidate has multiple active applications, each interview record is handled individually.

Important considerations:

  • This functionality only works while the integration is active. If the connection is inactive, Greenhouse cannot transmit the request, and you will need to manage data removal directly within Voice AI (Ezra).
  • Once data is permanently deleted, it cannot be recovered.
