Greenhouse Recruiting’s integration with Hireflow allows you to transfer prospects sourced using Hireflow into your Greenhouse Recruiting ATS so you can easily track all of your candidates in one place. In this article, we will cover how to:

Configure User Setup Permissions in Greenhouse Recruiting

In order to enable the Greenhouse/Hireflow integration, you will need to have the developer permission “Can manage ALL organization’s API Credentials” in Greenhouse.

Contact a Greenhouse user in your organization with Site Admin level permissions with the additional user-specific permission “Can edit another user's advanced permissions” to apply the API credential management permission to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon   > Users > Your Name).

The user with Site Admin level permissions should navigate to the Permissions panel on your user page and expand the Developer Permissions dropdown menu. 

Select “Can manage ALL organization’s API Credentials” so that a check is in the checkbox. When finished, click Save.

Repeat as necessary for any other user that should have access to set up the integration.

 

Create a Harvest API Key for the Greenhouse/Hireflow Integration

To create a Harvest API key for the integration, click on the Configure icon  in the upper right-hand corner. Navigate to Dev Center on the left-hand panel.

 

From the Dev Center page, click API Credential Management.

 

 

From the API Credential Management page, click Create New API Key to generate the API key for Hireflow.

 

 

In the Create New Credential dialog box, make the following selections:

  • API Type: Harvest
  • Partner: Hireflow
  • Description: Hireflow Harvest API Key

When finished, click Manage Permissions to generate the Harvest API key and automatically assign it the appropriate permissions required by Hireflow.

 

 

 

In the subsequent dialog box, click Copy to save your API key to your clipboard. Store the API key in a secure location to provide to Hireflow in the next step. Click I have stored the API Key once you have copied and saved the key.

 

 

Note: You cannot access the full API key again after clicking I have stored the API Key. If you lose your API key and need to access it later, you must create a new API key, provide it to the integration partner, and then revoke access to the original key.

 

On the subsequent page, confirm the following permissions are assigned to your new API key:

On the Manage API Key Permissions page, select the following permissions:

  • Under Candidates, select:
  • Get: Retrieve Candidate,
  • Get: List Candidates
  • Patch: Edit Candidate
  • Post: Add Candidate
  • Post: Add Note
  • Post: Add E-mail
  • Post: Add Attachment
  • Post: Add Application
  • Post: Add Education
  • Post: Add Employment
  • Post: Add Prospect
  • Put: Anonymize Candidate
  • Under Users, select:
  • Get: Retrieve User
  • Get: List Users
  • Get: List User Future Job Permissions
  • Under Email Templates select:
  • Get: Retrieve Email Template
  • Get: List Email Templates
  • Under Jobs select:
  • Get: Retrieve Job
  • Get: List Jobs
  • Under Sources select:
  • Get: List Sources
  • Under Education select:
  • Get: Get degrees
  • Get: Get disciplines
  • Get: Get schools

 

When finished, click Save.

If any of the permissions above are not checked, place a check in the box next to the appropriate permission. Click Save when finished.

Your Harvest API key for the Greenhouse/Hireflow integration is created and configured.

How to enable the Integration in Hireflow

Once your Harvest API key for the Greenhouse/Hireflow integration is created and configured, you are ready to connect it to your Hireflow account.

 

When you are logged into Hireflow, hover over your name in the top right corner, and select Settings.

Scroll down to “Greenhouse” and enter the API key from the previous step.

 

 

Click Save when finished.

You are now set up and ready to use the Greenhouse/Hireflow Integration.

How to use the Hireflow integration with Greenhouse

Once you have set up your Greenhouse/Hireflow Integration you can customize how prospects show up in your Greenhouse.

 

When you are logged into Hireflow, go to the Campaigns page

 

 

 

Enter a campaign by clicking Edit on the right side of the screen

 

 

Scroll down to “Applicant Tracking System (ATS)”

 

Under the “Job” drop down you can see which role(s) you are the manager for, and select which role(s) you want to source for.

 

 

You can choose if you want to add candidates to Greenhouse as prospects. You can also create tags to apply to the role such as: “Growth Team Roles”, “John E’s Team” and/or “Hireflow”. These tags will show up in your Greenhouse alongside these prospects.

 

 

Click Save when finished.

How the Hireflow/Greenhouse Integration Looks

 

When you are using Hireflow to source candidates on Linkedin you can see your previous interactions with them by clicking on the icon in the top right corner of the pop-out message.
