Help candidates understand where they are in your hiring process—without exposing internal details. MyGreenhouse Stages let you map your internal stages to clear, candidate-friendly stages (like “Interviewing” or “Offer Sent”) and add optional descriptions to provide helpful context. It’s a simple way to improve clarity, reduce recruiter follow-up and create a more polished candidate experience.
Overview
MyGreenhouse Stages let you give candidates a polished and transparent interview process without sharing internal stage names with candidates. Create a group of candidate-facing stages by mapping your internal stages to simplified, human-friendly labels. Stages are created at the department level, applied to all jobs in that department and automatically update based on candidate movement.
Once published, candidates will see their current stage in MyGreenhouse—no extra emails or manual updates required.
Set up MyGreenhouse Stages
To create candidate-facing stages, go to the MyGreenhouse Settings page and scroll to MyGreenhouse Stages. Select "Create new" to get started.
Internal setup
First, you'll complete your interal setup.
Give your MyGreenhouse stages an internal name to help your team stay organized. This name won't be visible to candidates.
Next, choose which departments these stages will apply to. When published, candidates who apply to jobs in these departments will see their current candidate-facing stage on their application in MyGreenhouse.
Create stages
Give each stage a candidate-facing name (e.g., “Phone Interview”).
Select which internal stages will be included in this candidate-facing stage. You can add multiple internal stages to each MyGreenhouse stage.
Add a description to provide prep tips or expectations. (Optional)
Preview stages
Next, see how your stages will look to candidates. As you build your MyGreenhouse stages, you’ll preview a list of your stages in the righthand panel. Select Preview for a full view of how your stages will look to candidates.
Publish stages
When you're happy with your setup, save your draft. Then, return to MyGreenhouse Settings to enable your new MyGreenhouse Stages.
Select the dropdown menu next to your new stage, then set to "Live."
Now that your MyGreenhouse stage setup is published, candidates applying to jobs in the selected departments will see their current stage on their application in MyGreenhouse. When you move a candidate into a new internal stage, their MyGreenhouse stage will automatically update.
