Cloudtalk’s integration with Greenhouse Recruiting enables users to make and receive calls, send SMS, and log every candidate interaction automatically in Greenhouse to streamline your hiring workflows and improve efficiency.
Create a Harvest API Key
To configure the integration, you’ll need to create a Harvest API key.
Follow the steps in this article to create the key, and verify that the permissions below are selected when configuring the CloudTalk integration.
Credentials
In the Create New Credential box, make the following selections:
- API Type: Harvest
- Partner: CloudTalk or Unlisted Vendor
- Description: CloudTalk Harvest API Key
Permissions
Verify that the following permissions are selected for the CloudTalk integration:
- GET: Retrieve Candidate
- GET: List Candidates
- POST: Add Note
- GET: List Users
These permissions are required to allow CloudTalk to display candidates, log call activity, and associate notes with the correct users in Greenhouse.
Set up the Cloudtalk integration
To set up the integration, go to your CloudTalk Dashboard:
You’ll be asked to provide the following:
- Your authentication name
- Harvest v1/v2 API Key
- Greenhouse Subdomain
- This is the first part of your Greenhouse URL.
- E.g. app2.greenhouse.io → Subdomain = app2
4. After filling in the details, click Create.
Once credentials are submitted:
- You must toggle the Integration Status to Active manually before saving
- You can add a Caption (name of the integration instance)
- You can apply a Contact tag to synced candidates in CloudTalk
- Select which numbers should be used for calls and SMS
Use the Cloudtalk integration
When the Greenhouse integration is configured, CloudTalk automatically syncs candidate records and logs communication activities between the two platforms.
Candidate synchronisation
- Initial import: Candidate records from Greenhouse are pulled into CloudTalk with first name, last name, email, and phone number.
- Ongoing updates: Any updates to candidate details in Greenhouse are reflected in CloudTalk, including the Created timestamp on new records.
- No deletions: Removing a candidate in Greenhouse does not delete them in CloudTalk.
- Job listing behaviour: Each candidate is linked to one main job listing. If they are registered for a second job on a new candidate profile, CloudTalk will import it separately.
- Fields available in CloudTalk: For the main job listing, CloudTalk surfaces the link to the ATS listing and the applicant’s current stage.
Contact export
When contacts are created or updated in CloudTalk, the integration can export the contact with the following fields to Greenhouse: ID, First Name, Last Name, Email, Phone, Applications.
Call activity
After each call, CloudTalk adds a Note on the candidate. The note includes:
- CloudTalk number
- Caller’s number
- Duration
- Tags
- Notes
- Recording link
All the CloudTalk Phone Call Activity will appear in the Contact Activity as a structured Note
SMS activity export
All inbound and outbound SMS messages sent through CloudTalk are logged to the candidate’s activity history in Greenhouse and linked to their primary job listing whenever possible.
All the CloudTalk SMS Activity will appear in the Contact Activity Feed as a Note
