Mega HR for Greenhouse adds our conversational AI hiring assistant, Megan, to your hiring process to help you save hundreds of hours managing your recruiting and hiring processes. Let her scour through your historical candidates to find the best fits for a new role and reach out to them to see if they’re interested and update their resumes. Integrate her into your hiring workflow to screen out pesky AI applicants, or short list the best fit. Or schedule interviews and take notes, even get approval for background checks and kick them off. You’ll also love that Megan is fully bi-directional! Stage changes, resume updates, feedback, interviewers, are all synced back into Greenhouse in real-time!

Create a Harvest API key

To configure the integration, you’ll need to create a Harvest API key.

Follow the steps in this article to create the key, and verify that the permissions below are selected when configuring the Mega HR integration.

Credentials

In the Create New Credential box, make the following selections:

  • API Type: Harvest
  • Partner: Mega HR or Unlisted Vendor
  • Description: Mega HR Harvest API Key

Once your API key is created, be sure to share it with your Mega HR account manager. 💡 If you don’t yet have a Mega HR account manager, just email partner-support@mega.hr.

Configure webhooks

Webhooks allow changes from Greenhouse to update inside Mega HR instantly.

Follow the steps in this article to create the necessary webhooks and keep your Mega HR integration in sync with Greenhouse. 💡 Each webhook will require an Error Email Address we recommend you use partner-support@mega.hr.

Verify that the following webhooks are configured for the Mega HR integration.

Add the above Endpoint URL to the following Webhooks:

Add Megan (AI Agent) to Greenhouse

What Megan (AI hiring assistant) has access to manage in Greenhouse is controlled by what jobs she is added as a Hiring Manager on.

Follow the steps in this article to invite megan+COMPANYNAME@mega.hr to Greenhouse as a Job Admin.

Note: COMPANYNAME should be replaced with the full name of your company without any spaces. For example, for a company named Acme Corp, you could use megan+acmecorp@mega.hr. If you have any questions on this, please contact your Mega HR Account Manager or email partner-support@mega.hr.

You may choose to add her to all jobs, or select them individually but Megan must be added as a Hiring Manager.

Once the following steps have been completed, it’s time to Activate the Mega HR integration:

  • API key created and shared with your Mega HR account manager
  • Required Webhooks configured
  • Megan has been added to one or more jobs as a Hiring Manager

Your Mega HR account manager then initiates a sync with your Greenhouse company. Once that completes (1 min - 1 hour depending on how much data) you’re ready to go! 🚀

Use the integration

  1. Logging In Now that your Mega HR integration has been activated you’re ready to login! Login here: https://app.mega.hr/login
  2. The basics We recommend you watch this quick 90 second intro video. Once you login you’ll land on the Home screen. If you’re a non-Greenhouse Admin, here you’ll see all the jobs you and Megan are Hiring Managers on. If you’re a Greenhouse Admin, you’ll see all the jobs Megan has access to.

On the right you'll see your Megan conversations. This is where you interact with Megan in natural language. Just click “New Conversation” to chat with her. Megan has access to many of the same candidate management features you have in Greenhouse and she can use those as tools to get work done for you. When she’s doing work for you, she’ll create a task. Those tasks will be linked inside the conversation as well as on the Home screen in the “AI Work History” section.

 

You’ll see a ✅ for tasks that are complete and a little spinner for those in progress. You can also click on them to get more detail.

  1. Conversing with Megan Megan is extremely powerful conversationally. Sure, she can handle quick tasks like telling you about applicant volume over the weekend or scheduling a meeting for you. But she’s also great at much more complex & time consuming tasks. Here’s an example of something she could take care of for you: “Hey Megan, would you please get a list of the top 50 candidates we have in the system who may be a good fit for this new Finance Manager job we have? Once you have the list, email them and see if they may be interested. If they are, ask them for an updated resume and add them to the Finance Manager job for me.” Yes, she’s pretty powerful. 💪🏼
  2. Configuring Megan as part of a Job Workflow

One of the other great timesavers is integrating Megan as part of your Job workflow. Here we have a Greenhouse Job along with all of the stages we have configured.

 

With Mega, each Stage in your Pipeline can be configured with AI automation, triggered when the applicant enters that stage. You configure those automations by hovering over the stage and clicking the gear icon in the top right of each stage. To continue with this, here we have the Application Review stage; the stage new applicants automatically enter after they’ve applied to a job. One common task would be to have her score applicants, share feedback and optionally advance or disqualify them.

 

Yes, all of that is configurable but you can do quite a bit more.

Maybe it’s important that each candidate has some particular skill that may not be 100% clear on their application. Well, that’s easy, just ask her (in natural language), to reach out to any applicants who look good, but she’s unsure if they have that important skill before completing her assessment. This is just one example of many ways you can inject Megan into your hiring process. Megan can schedule meetings, attend those meetings and take notes, get candidate consent to kick off background checks and so, so much more!

What Megan will sync back to Greenhouse

Megan does a lot for you and she tries her best to make sure everything she does is synchronized back into Greenhouse.

Here we’ll cover what those things are:

Candidate profile updates:

  • Candidate profile updates, such as updated resumes

Candidate notes:

  • Feedback on candidates
  • Justifications for screening actions (advancing or disqualifying)
  • Interview summaries for meetings she’s been asked to attend:
    • Overview of questions asked & responses
    • General interview summary
    • Actions items/Takeaways
  • Clarity around why she did something when it was at the direction of another user.

Candidate stage progression:

  • When Megan moves a candidate to another stage
  • When a candidate is Hired or Rejected

Copy Applicant to another job:

  • When Megan copies a candidate to another job at the request of a user

Interviews:

  • When an interview is scheduled based on an Interview template that interview will be added to the candidate with the relevant details.
  • If an interview is scheduled in an adhoc fashion (e.g. outside the scope of an interview template), details around that meeting will be shared as a note on the candidate.
  • Cancelled interviews Megan is managing

Interview Recordings:

  • When Megan attends an interview she’s scheduled she will takes notes and share that feedback with the team in Greenhouse including the questions/responses, summary of the meeting, her assessment and any actionable items.
  • The video recording will be uploaded and added as an attached file marked “Private”.

General updates:

  • Megan will provide general status updates around things she’s doing through Candidate notes. e.g when she’s working to schedule a meeting.
  • If her conversation with a candidate leads to a question she can’t answer, she’ll escalate to the team.
